Position Summary
Hometown Holdings Property Management is seeking a detail-oriented and professional Collections Coordinator to oversee the collection of outstanding tenant balances while maintaining a high level of customer service and compliance with all applicable federal, state, and local laws governing debt collection. This position plays a critical role in recovering unpaid balances, managing post-tenancy collections, and assisting with court-awarded judgments and legal collection efforts.
The Collections Coordinator will also be cross-trained in the Delinquency and Tenant Relations departments to provide operational support and coverage as needed.
Employment Details
- Employment Type: Full-Time
- Schedule: Monday through Friday, in-office
- Weekends: All weekends off
- Compensation: $38,500 – $45,000 annually, based on experience
Essential Duties and Responsibilities
- Manage collections for outstanding tenant balances resulting from move-outs, unpaid rent, damages, fees, and other lease-related charges.
- Contact former and current tenants through inbound and outbound phone calls, email, written correspondence, and other approved communication methods to resolve outstanding debts.
- Negotiate payment arrangements and document all collection activity accurately within company software.
- Monitor payment plans and follow up on delinquent accounts as necessary.
- Maintain detailed and organized records of collection efforts and account activity.
- Prepare, process, and file legal collection documents related to court-awarded judgments, including garnishments and other post-judgment collection actions.
- Coordinate with local General District Court clerks and other court personnel regarding filings, documentation, court procedures, and judgment processing.
- Track the status of judgments, garnishments, and other legal collection efforts to ensure timely follow-up.
- Work closely with attorneys, courts, employers, and other third parties as necessary to facilitate lawful collection efforts.
- Review tenant ledgers and account histories to ensure balances are accurate before collection activity begins.
- Respond professionally to inbound inquiries regarding outstanding balances, payment options, judgments, and collection matters.
- Ensure all collection activities comply with company policies and applicable federal, state, and local regulations.
- Communicate effectively with internal departments regarding account status, legal proceedings, and payment activity.
- Assist in identifying opportunities to improve collection procedures and recovery rates.
Cross-Training Responsibilities
In addition to collection responsibilities, this position will be cross-trained to provide support in:
- Delinquency management, including assisting with active rent delinquency processes and payment follow-up.
- Tenant Relations, including assisting with inbound resident communications, account inquiries, and customer service needs.
- Providing departmental coverage during periods of high call volume, vacations, or staffing shortages.
Qualifications
- High school diploma or equivalent required; associate’s degree preferred.
- Previous collections, accounts receivable, property management, legal administrative, or customer service experience preferred.
- Strong written and verbal communication skills.
- Excellent organizational skills and attention to detail.
- Ability to handle difficult conversations professionally and respectfully.
- Strong computer skills and the ability to learn property management software.
- Ability to maintain confidentiality and exercise sound judgment.
- Knowledge of court procedures, garnishments, or post-judgment collections is preferred but not required.
