Full Job Description

Responsibilities : Reports directly to the Area Manager and provides assistance to Project Managers, and Estimators. The Office Administrator is responsible for the job duties listed below as well as maintain the overall appearance and professionalism of the office. The Office Administrator shall conduct business in a professional manner, strive for team excellence, and emphasize Faulconer’s Core Values at all times.

Primary Job Duties :

Manage phones
Manage filing
Manage office service requests i.e., keys, fobs and work orders
Office supplies – monitor and order (Staples)
Mail – check incoming and ensure outgoing is set (includes Fed Ex packages – deliver to Fed Ex if needed) Mail to corporate office each Friday
Bank Deposits
Add cost codes into Viewpoint as needed
New hire orientations and associated paperwork. Ensure all is transmitted to corporate office in a timely manner
VA811 One Call/No-cuts – update tickets as needed for projects (online)
Obtain lien waivers from subcontractors for pay apps
Prepare and submit expense reports for office and field staff
Work with estimating to prepare and submit pre-qualifications.
Coordinate and set up reservations as requested (hotel, meeting, etc.)
Plan company functions, i.e., Office, holiday, etc.
Other duties as assigned.

Position Requirements:

High School diploma or equivalent required
Effective written and verbal communication.
Provide company/employee confidentiality and privacy at all times.
Attention to detail
Strong organizational skills.
Ability to consistently meet deadlines.
Proficiency in Microsoft office applications including Outlook, Human Resource Information Systems and comfortably using a computer for various tasks.
