Office and Resource Coordinator

Be the Friendly Face That Helps It All Come Together

Families First of MN is looking for an Office and Resource Coordinator who understands that a great front desk is about more than answering phones and greeting visitors, it’s about creating a welcoming experience and helping everything behind the scenes run smoothly.

As the first face our families see, you’ll play an important role in making people feel comfortable, supported, and respected from the moment they walk through the door. Some days may be calm and predictable, while others may be busy and require you to think on your feet. Either way, you’ll be someone who takes pride in staying organized, noticing what needs to be done, and thinking a few steps ahead.

Not every situation will come with a clear script or set of instructions. You’ll need to be comfortable navigating a little uncertainty, using good judgment, and making thoughtful decisions along the way. And because the families we serve may sometimes be facing stressful or difficult circumstances, your ability to communicate with warmth, patience, professionalism, and compassion will make a meaningful difference.

Families First is hiring for a 30–40 hour-per-week position!

The position offers full-time benefit-eligible hours from 8:00 AM–2:00 PM, with the opportunity to work until 4:30 PM based on scheduling needs and your interest.

Compensation for this position is $21-22/hour based on experience. Benefits include Health Insurance, Dental, Vision, Life, Long-Term Disability and 403(b) Retirement Savings, in addition to paid vacation, sick leave, holidays and personal holidays.

Education and experience: Minimum 2 years of social services related experience working with at-risk families and individuals in the community while accessing needs and referrals to resources in the area. A.A. degree or higher preferred. Experience with diverse cultural and economic populations is preferred. Ability to work independently, self-direct daily priorities, and proactively identify needs without waiting for direction — a self-starter in the truest sense of the role.Must have excellent organizational skills. Bilingual strongly desired.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Welcome and support families: Greet clients and visitors at the front desk, answer questions, and help connect people with the services and resources they need.
Answer and manage phone calls: Serve as the main point of contact for incoming calls, answer questions, and direct people to the appropriate staff or program.
Help with client intake and follow-up: Gather basic information from clients, communicate clearly and respectfully, and follow up when needed.
Connect families to resources: Build relationships with local agencies, community partners, and social service organizations so you can connect families with helpful resources.
Stay up to date on community resources: Learn about local programs, events, emergency services, and other resources that may benefit the families we serve.
Support Families First programs: Work with staff across the organization to help meet client needs and provide administrative support.
Keep records organized: Maintain accurate files, documentation, reports, and other information as needed.
Help keep the office running smoothly: Sort and distribute mail, manage postage, order office supplies, track inventory, and help with conference room scheduling and upkeep.
Support our community resource room: Receive and organize donations for Seeds of Carma, sort clothing and other items, and help keep the resource room clean, organized, and stocked.
Support community drives: Work with local partners on donation drives and other community efforts.
Communicate professionally: Write clear emails and other communications and interact professionally with clients, community partners, and staff.
Participate as a team member: Attend staff meetings and trainings and assist with other duties as needed.
