Pay Range: $28 - $35 per hour
Work Location: Rochester, NY, In-person
Work Schedule: Monday - Friday, 8AM – 5PM
Reports to: Dr. Torrado
Supervises: All Staff
JOB SUMMARY
Torrado Dental is seeking an exceptional and organized Office Manager that supports all operational aspects
of the practice with the main goal in supporting overall patient satisfaction. The Office Manager is
responsible for overseeing daily operations including: staff management and employee relations,
streamlining processes and procedures, supporting financial performance, and patient relations. Key duties
include hiring and training staff, oversees insurance claims and billing, optimizing and overseeing
appointment scheduling, maintaining compliance with OSHA/HIPAA regulations, and handling inventory.
ESSENTIAL FUNCTIONS
Core Responsibilities:
- Office Operations: Overseeing the front desk and manages patient records, provides in the moment feedback to staff, and ensures office procedures run efficiently.
· Policy & Procedure: Review policies and procedures that support the flow of the dental practice on a consistent basis and adjust/streamline accordingly.
- Financial Management: Plays a major role and acts as a resource in handling billing, processing insurance claims, managing accounts receivable/payable, and producing financial reports
- Staff Management: Partners with Human Resources and Dr. Torrado on hiring, training, coaching, providing feedback and upholding accountability.
- Patient Experience & Scheduling: Oversees patient flow, scheduling, and addressing patient complaints.
· Marketing & Growth: Implementing marketing efforts and monitoring practice performance metrics.
Confidentiality & Compliance:
· Maintains patient confidence and protects operations by keeping information confidential.
- Maintains safe and clean working environment by complying with procedures, rules, and regulations.
· Ensuring compliance with HIPAA, OSHA, and state regulations, as well as ordering office and clinical supplies.
Professionalism & Continued Development:
· Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in profession societies.
· Utilizes webinars to stay up to date on current technology, industry regulations, and coding.
· Continuing education using resources like The DALE Foundation and AADOM (American Association of Dental Office Management).
Other duties as assigned by Dr. Torrado.
SUPERVISORY DUTIES
· Partners with Dr. Torrado on managing all staff, processes, and procedures.
EDUCATION & EXPERIENCE
· High school diploma or GED required.
· Bachelor’s degree in business, preferred.
· Strong computer skills, proficient in Microsoft Office and dental practice-management software (Open Dental).
· 3-5 years of experience in dental clinic operations are required.
· At least 2 years of experience managing a team or overseeing administrative functions.
· Previous experience as a dental assistant or front office administrator is highly valued
KNOWLEDGE, SKILLS & ABILITIES
Core Knowledge & Technical Skills
· Strong knowledge in the dental field and language/ terminology associated.
· Excellent understanding of procedure codes and billing.
· High proficiency in dental management software (Open Dental).
· Ability to train staff, both new hires and current, in the areas that are necessary.

· Communication: Clear verbal articulation for speaking with patients and staff, and acute hearing for phone/in-person conversations.
· Bilingual, Ability to speak fluent Spanish, preferred.
PHYSICAL DEMANDS & WORK ENVIRONMENT
Physical Demands
· Extended sitting at a computer workstation (1–2 hours at a time, up to 8 hours daily).
· Lifting: Light physical effort, such as lifting office supplies, boxes of files, or computer equipment.
· Ability to maintain focus and energy throughout a full, often fast-paced, workday.
· Intermittent standing, walking, and bending to manage files, equipment, or patient check-ins.
Work Environment
The work environment for a dental Office Manager is a professional, fast-paced medical/dental office or clinic setting. Key characteristics include:
· Noise Level: The noise level is usually moderate, owing to general office activity and the operation of dental equipment in adjacent clinical areas.
· Interactions: There is frequent interaction with patients, doctors, and other staff members. The Office Manager must maintain a professional demeanor, even under pressure or when dealing with patients or staff.
· Potential Exposures: While the Office Manager is separate from the direct clinical area, there is occasional potential exposure to conditions common to a clinical environment, such as communicable diseases, blood or body fluids, toxic substances (e.g., cleaning chemicals), and low-level radiation from X-ray equipment.
· Safety and Regulations: Adherence to strict safety guidelines and confidentiality standards (HIPAA and OSHA) is a critical part of the job.
· Pace: The role involves managing multiple tasks concurrently.
