Full Job Description

JOB SUMMARY:

Provides administrative, reporting, marketing, and coordination support to the leasing team by maintaining accurate tracking tools, preparing materials, supporting specialty leasing documentation, and assisting with industry event planning.

CAREER GROWTH OPPORTUNITY:

This position offers a strong foundation for individuals interested in building a career in leasing. By working closely with the leasing team and gaining hands-on experience in reporting, marketing support, specialty leasing documentation, and industry coordination, the Leasing Assistant can develop the knowledge and skills needed to grow into a Leasing Representative role and advance within the department.

ESSENTIAL FUNCTIONS:

Prepare and update daily call sheets for the leasing team.
Assist the leasing team with creating and maintaining marketing packages and presentation materials.
Complete weekly updates to leasing tracking reports and maintain accurate records.
Coordinate industry conventions, including scheduling, logistics, materials, and follow-up.
Prepare specialty leasing agreements and assist with related documentation.
Collect, organize, and track required documents, including insurance certificates and sales reports.
Provide general administrative support to the leasing department as needed.

- Assist with special projects and additional leasing department assignments as needed

EDUCATION & EXPERIENCE:

1-3 years of administrative, leasing support, commercial real estate, or related office experience preferred
High school diploma or equivalent required
Associate or bachelor’s degree in business, marketing, real estate, or a related field preferred

KNOWLEDGE, SKILLS & ABILITIES:

Strong organizational skills with the ability to manage multiple projects, deadlines, and reporting requirements
Proficiency in Microsoft Office, especially Excel, Word, and Outlook
Excellent written and verbal communication skills and a high level of professionalism
Ability to prepare accurate reports, maintain records, and track required documentation
Ability to work collaboratively with the leasing team and external contacts in a fast-paced environment

Walking through the mall
Occasional lifting of marketing materials, files, banners along with bending or reaching to inspect spaces
Extensive time at a desk, typing and using office equipment
Constant commutations that require clear speech for phone calls, face to face meetings and negotiations with prospective tenants
