Department: YWCA La Voz Latina

Reports to: Director of Immigrant Services

Job Summary

The Immigrant Services Coordinator / Outreach Specialist supports the Director of Immigrant Services in coordinating department operations and cross-program activities for the Immigrant Family Resource Program (IFRP), Illinois Welcoming Center (IWC), and New Americans Initiative (NAI). The position takes the lead in vetting, planning, scheduling, and documenting outreach opportunities; coordinates staff participation and materials; supports community partnerships, communications, reporting, and onboarding; and provides direct client-service coverage when needed.

Program Coordination Responsibilities

IFRP: Support outreach, education, and access to public benefits for eligible immigrant and refugee families with limited English proficiency. As needed, assist with applications, interpretation, referrals, follow-up, and informational presentations in accordance with program standards.

IWC: Support culturally and linguistically responsive information and referral, service coordination, and holistic case-management activities. Assist staff with outreach, workshops, documentation, referrals, and direct client services when coverage or additional support is needed.

NAI: Coordinate program logistics with the Director and instructor, including class promotion, student inquiries and registration, schedules, and other required records, and support for curriculum and program-deliverable tracking.

Essential Job Functions

Outreach and Community Partnerships:

Serve as the primary point of coordination for department outreach requests and opportunities.
Vet proposed events and speaking engagements for alignment with program goals, target populations, geographic priorities, staff capacity, anticipated impact, and available resources; present recommendations to the Director for approval when needed.
Maintain a centralized outreach calendar and coordinate staffing, registration, materials, transportation, setup, and follow-up for approved activities.
Develop and maintain relationships with public agencies, nonprofit organizations, schools, service providers, media outlets, and immigrant and refugee communities across the department’s service area.
Attend selected community events and meetings to promote services, strengthen partnerships, identify resources, and expand the department’s reach.
Ensure outreach and site-visit activities are documented accurately and submitted on time for program reporting and deliverable tracking.

Director and Department Support

Maintain regular communication with the Director and program staff regarding outreach, operational needs, emerging issues, service trends, and progress toward program goals.
Assist the Director with annual and ongoing program planning, implementation, monitoring, and adjustment of goals, workflows, and activities in accordance with contracts, program plans, standards, and available budgets.
Coordinate cross-program projects, meetings, schedules, and follow-up tasks as assigned by the Director.
Support onboarding and orientation of new staff and assist with identifying relevant in-person and virtual professional development opportunities.
Monitor relevant changes in community resources and local, state, and federal policies; share timely, reliable information with the Director and team.

Communications, Records, and Client Support

Support department communications and social media by responding or routing incoming messages, developing and scheduling approved content, and sharing program announcements and outreach highlights.
Maintain accurate, timely, and confidential program records, databases, client files, outreach documentation, and other information required for reporting and site visits.
Provide information and referrals to immigrant families and route documentation to the appropriate program staff for follow-up and data entry.
Provide case-management, benefits-navigation, interpretation, and translation support for IFRP and IWC clients when assigned or when coverage is needed.
Provide services in a culturally responsive, trauma-informed, and client-centered manner, following confidentiality requirements and organizational policies.
Maintain an organized inventory of program, training, outreach, and office supplies and coordinate timely replenishment.
Attend staff meetings, required trainings, and approved outreach activities; contribute to a collaborative, team-centered work environment.
Perform other duties as assigned by the Director of Immigrant Services or CEO.

Minimum Requirements

Bachelor’s degree in human services, social work, nonprofit management, communications, or a related field preferred, and/or at least two years of relevant experience.
Bilingual proficiency in English and Spanish preferred; ability to communicate effectively with individuals from diverse linguistic and cultural backgrounds.
Strong organizational, project-coordination, time-management, and prioritization skills, including the ability to manage multiple deadlines and details.
Strong verbal and written communication skills, including public speaking and professional correspondence.
Sound judgment and the ability to evaluate outreach opportunities, identify operational needs, and make recommendations to the Director.
Working proficiency with common office software, databases, virtual meeting platforms, and social media tools.
Ability to maintain confidentiality and accurate records and to handle sensitive client and program information appropriately.
Current Illinois driver’s license, valid vehicle insurance, and reliable transportation for travel throughout the service area.
Ability to work on occasionally approved evenings or weekends for outreach activities.
Ability to lift up to 30 pounds and sit, stand, bend, and move event materials as needed.
