At Tessa Lee Libby Treatment Center, we believe that the first interaction someone has with treatment can shape their entire recovery journey. We are seeking a compassionate, organized, and clinically skilled Clinical Admissions Coordinator to serve as the primary clinical point of entry into our growing continuum of substance use treatment services.
This position is ideal for a licensed behavioral health professional who enjoys clinical assessment, care coordination, and helping individuals access the right level of care. The Clinical Admissions Coordinator plays a critical role in ensuring every prospective client receives a timely, thorough, and trauma-informed admission experience.

Tessa Lee Libby Treatment Center is a nonprofit behavioral health organization providing evidence-based, trauma-informed substance use treatment for women throughout Maine. Our continuum of care includes:
- ASAM 3.5 Residential Treatment
- Medication-Assisted Treatment (MAT/MOUD)
- Intensive Outpatient Program (IOP)
- Outpatient Substance Use Counseling
- DEEP Evaluations and Services

Position Summary
The Clinical Admissions Coordinator serves as the organization's primary admissions clinician and is responsible for coordinating the clinical admission process across all programs. This position conducts admission screenings, completes comprehensive biopsychosocial and ASAM assessments, determines clinical appropriateness for treatment, and coordinates admissions into the appropriate level of care.
Working closely with referral sources, medical providers, and the multidisciplinary treatment team, the Clinical Admissions Coordinator ensures individuals have timely access to treatment while maintaining compliance with agency policies, licensing requirements, Joint Commission standards, and payer expectations.
This is a hybrid position requiring a minimum of three (3) days per week onsite at our residential treatment program to complete admissions and assessments.
Primary Responsibilities
Clinical Assessment
- Conduct clinical admission screenings for all organizational programs.
- Complete comprehensive biopsychosocial assessments.
- Complete ASAM assessments and determine appropriate level-of-care recommendations.
- Evaluate clinical appropriateness for admission.
- Assess immediate safety concerns, including suicide risk, withdrawal risk, and medical stability.
- Identify barriers to treatment and assist prospective clients in accessing appropriate services.
- Gather collateral information and obtain Releases of Information as clinically indicated.
Admissions Coordination
- Coordinate admissions for Residential Treatment, Intensive Outpatient, Outpatient Counseling, MAT/MOUD, DEEP, and future service lines.
- Serve as the primary clinical contact for prospective clients, families, and referral sources.
- Schedule admissions and coordinate transitions into care.
- Collaborate with clinical staff, medical providers, nursing, residential staff, and administrative personnel to facilitate smooth admissions.
- Ensure all required admission documentation is complete prior to admission whenever possible.
Clinical Documentation
- Complete timely, accurate, and comprehensive documentation.
- Ensure assessments clearly support medical necessity and level-of-care recommendations.
- Maintain documentation in accordance with agency policy, licensing standards, Joint Commission expectations, HIPAA, and 42 CFR Part 2.
- Participate in quality assurance activities related to admissions and documentation.
Team Collaboration
- Participate in multidisciplinary treatment team meetings as appropriate.
- Consult with the Clinical Director regarding complex admission decisions.
- Assist with utilization review and admission-related quality improvement initiatives.
- Support the organization's commitment to trauma-informed, recovery-oriented care.
Qualifications
Required
- Current Maine licensure (or license eligible) as an LADC, LCPC, LMSW-CC, LCSW, LMFT, or other approved behavioral health professional.
- Experience conducting comprehensive behavioral health assessments.
- Working knowledge of ASAM Criteria.
- Excellent clinical interviewing, assessment, and documentation skills.
- Strong organizational and time management skills.
- Valid driver's license and reliable transportation.
Preferred
- Experience working in Substance Use Disorder treatment.
- Experience conducting biopsychosocial assessments and level-of-care determinations.
- Knowledge of MaineCare authorization requirements.
- Experience with electronic health records.
- Familiarity with Joint Commission standards.
Schedule
- Full-Time (40 hours/week)
- Hybrid work environment
- Minimum three days per week onsite at the residential program
- Occasional travel between organizational locations as needed
