Position Overview
The Office Manager & Guest Experience Coordinator plays a central role in our daily operations. This person will communicate with guests, manage reservations, coordinate employees and contractors, assist with administrative tasks, and help resolve issues before they become larger problems.
The right candidate will be friendly, patient, organized, and comfortable taking initiative. They must be able to remain calm and professional, even when a guest, contractor, or situation is difficult.
This is not a position for someone who waits to be told what to do. We are looking for someone who notices what needs attention, follows through, and works toward solutions that are fair to the guest and beneficial to the company.
Although most responsibilities involve guest communication and office operations, occasional hands-on assistance may be required when a cleaner, contractor, or team member falls short.
Primary ResponsibilitiesGuest Experience and Reservations
- Respond promptly and professionally to guest inquiries, reservation requests, questions, complaints, and maintenance concerns.
- Communicate with guests by phone, text, email, and booking-platform messaging.
- Manage reservations across Airbnb, Vrbo, Booking.com, Guesty, direct-booking systems, and other company platforms.
- Assist with reservation changes, payments, refunds, calendar blocks, early arrivals, late departures, add-ons, and booking discrepancies.
- Maintain a friendly and professional attitude regardless of a guest’s tone or behavior.
- Encourage positive guest experiences, repeat business, direct bookings, and favorable reviews.
Operations and Property Coordination
- Coordinate cleaners, maintenance employees, contractors, vendors, and property-management staff.
- Monitor daily arrivals and departures and identify properties requiring additional attention.
- Schedule maintenance and contractor visits, document reported issues, and confirm that work has been completed.
- Follow unresolved tasks through to completion or escalate them to management when necessary.
- Keep management informed of significant guest concerns, property issues, scheduling conflicts, and operational risks.
- Maintain organized digital records, checklists, invoices, calendars, and operating procedures.
Customer Support and Problem-Solving
- Identify practical solutions that protect the guest experience while following company policies.
- Anticipate potential problems and take reasonable action before they affect a reservation.
- Work with customer-support teams from booking and property-management platforms to resolve technical, payment, or reservation issues.
- Prioritize urgent concerns while continuing to manage routine responsibilities.
- Communicate clearly and respectfully with guests, homeowners, contractors, and coworkers.
Golf Cart and Team Support
- Assist customers with golf cart reservations, payments, waivers, policies, and rental questions.
- Coordinate golf cart deliveries and pickups with the operations team.
- Help train seasonal and newly hired employees on company procedures and customer-service expectations.
- Assist with time-sensitive operational tasks during busy periods.
- Occasionally help with supply deliveries, property preparation, basic organization, light cleaning, or other hands-on duties when needed.
- Identify opportunities to improve company systems, communication, and workflow.

- Strong written and verbal communication skills.
- Professional customer-service experience.
- Confidence using computers, email, web-based platforms, and mobile applications.
- Ability to learn property-management and reservation software.
- Strong problem-solving, organization, and critical-thinking skills.
- Ability to work independently without constant supervision.
- Dependable attendance and punctuality.
- Reliable transportation and a valid driver’s license.
- Willingness to work some weekends, holidays, and busy travel periods as scheduled.
Experience in hospitality, vacation rentals, hotels, property management, customer service, office administration, or reservation management is preferred but not required for the right candidate.
Physical and Operational Expectations
This position is primarily office and computer based, but occasional fieldwork may be required. Candidates should be comfortable:
- Visiting rental properties when necessary.
- Delivering supplies or small guest-requested items.
- Performing light cleaning or basic property-preparation tasks.
- Standing, walking, bending, and carrying routine household or office supplies.
- Working in a fast-paced hospitality environment where priorities may change quickly.
