Full Job Description

Position Summary:

Electro-Methods Inc. (EMI), a Stronvar Aerospace company, is seeking a customer-focused Sales Assistant to support sales team with contract lifecycle, including quotation, review, execution, and follow-up, while ensuring accuracy and alignment with company policies and standards between EMI and its aerospace OEM and Tier-1 customers.

Reporting to the Customer Services Manager, the Sales Assistant will act as a key liaison between internal teams and external customers to support efficient contract execution. Success in this role depends on your ability to manage multiple tasks, communicate clearly, and proactively identify potential issues, while maintaining a high level of confidentiality and professionalism. This position ensures EMI delivers competitive proposals and provides exceptional customer service throughout the bid-to-production lifecycle.

Key Responsibilities

1. Support the Sales Team with day-to-day administrative and customer service functions.

Assist with commercial activities, including quotes and order management.
Coordinate with internal departments to obtain updates and resolve customer inquiries.
Communicate customer requests and follow up on open action items.
Help ensure customer commitments and delivery expectations are met.
Maintain accurate records and support overall sales operations.

2. Customer Relationship Management & Support

Serve as a key commercial interface for assigned customer accounts.
Support the Customer Services Manager in building strong relationships with customer engineering, supply chain, and program leaders.
Assist with ongoing communication.
Respond promptly to customer inquiries and coordinate internal teams for effective resolution.
Maintain visibility into project milestones and provide customer-facing updates when required.

3. Quoting, Estimating & Technical Proposal Development

Process and manage customer RFQs, purchase orders, and delivery schedules.
Technical data is merged into EMI two databases
Maintain organized tracking of quotes, status updates, and deadlines.

4. Market & Competitive Insights

Gather customer feedback regarding pricing, lead times, quality performance, and emerging needs. Work with Cost and Estimating Manager
Support the Customer Services Manager by providing insights on industry trends, competitor capabilities, and customer program forecasts.

5. Cross-Functional Collaboration

Participate in SIOP, demand planning, and long-term strategic planning discussions as needed.
Identify, organize, and track all customer-related technical materials (drawings, TDPs, specifications, revisions) to ensure accurate, timely flow of information that supports manufacturability assessments, quoting, and smooth NPI-to-production transitions.
Support the daily SQDC (Safety, Quality, Delivery, Cost) management process.
Participate in daily tier meetings
Escalate issues impacting safety, quality, delivery, or cost.

Qualifications

Required

Associate’s or Bachelor’s degree in Business Adminstration, Supply Chain Management, or related technical field
Minimum 2 years of experience in adminstartrive support or customer-facing roles.
Excellent communication skills
Basic understanding of purchase orders, contracts, or order processing
Strong skills in Microsoft Excel and the Microsoft Office suite
Ability to manage multiple tasks and meet deadlines
Problem-solving mindset and ability to follow through on customer requests
U.S. Person required (ITAR environment).

Preferred

Familiarity with ERP/MRP systems
Exposure to special processes (NDT, coatings, heat treat, etc.).
Experience in a manufacturing or aerospace environment (a plus)
Familiarity with basic contract terms and order tracking
Willingness to learn and grow within a contracts or customer operations role

Working Conditions

Office and shop-floor environment with regular interaction with Engineering, Operations, and Quality.
Occasional travel to customer sites and industry events may be required.
