Position Summary

The Project Manager is responsible for overseeing signage projects from contract award through final closeout. This role manages the submittal process, maintains project timelines, coordinates installation schedules with clients and field crews, and drives punch list resolution and project closeout to ensure every project is delivered on time, within budget, and to specification.

Essential Duties and Responsibilities

Submittal Management

Prepare, organize, and submit signage submittals to general contractors, architects, or clients for review and approval, including shop drawings, material samples, product data, and ADA compliance documentation.
Track submittal status and follow up to obtain timely approvals, managing revision cycles as needed.
Ensure approved submittals are distributed to production, procurement, and installation teams before work begins.
Maintain a complete and organized submittal log for each project.

Project Scheduling and Timeline Management

Develop and maintain a detailed project schedule from kickoff through closeout, incorporating submittal lead times, material procurement, production, and installation windows.
Monitor project progress against the schedule, identifying risks and proactively communicating delays or changes to stakeholders.
Coordinate with procurement and production to align material delivery dates with installation timelines.
Provide regular project status updates to clients, general contractors, and internal leadership.

Installation Coordination

Schedule and coordinate installation crews, subcontractors, and site access with general contractors, facility managers, and clients.
Confirm site readiness prior to mobilization, including verifying substrate conditions, rough-in requirements, and accessibility.
Serve as the primary point of contact between field installation teams and the client or general contractor during the installation phase.
Address and resolve field issues in real time, coordinating solutions with production, vendors, or design staff as needed.

Punch List and Project Closeout

Conduct or coordinate final walkthroughs to identify punch list items, documenting deficiencies with photos and written records.
Manage punch list resolution by assigning corrective actions to the appropriate team members and tracking completion to closure.
Compile and submit all project closeout documentation, including as-built drawings, warranty information, maintenance guides, and final lien waivers as required.
Obtain client or GC sign-off on project completion and facilitate final billing milestones.
Conduct a post-project review to capture lessons learned and identify process improvement opportunities.

Client and Stakeholder Communication

Build and maintain strong working relationships with clients, general contractors, architects, and vendors throughout the project lifecycle.
Manage client expectations proactively, communicating scope, schedule, and budget status clearly and professionally.
Document all significant project communications and decisions for the project record.

Budget and Cost Management

Monitor project costs against budget, flagging variances and working with leadership to address overruns.
Review and approve vendor invoices and subcontractor billings against scopes of work and POs.
Support the identification and documentation of change order opportunities.

Qualifications

Education

Associate's or bachelor's degree in construction management, architecture, business, or a related field preferred; equivalent work experience considered.

Experience

3+ years of project management experience in signage, construction, or a related trade environment.
Demonstrated experience managing submittals in a GC/subcontractor relationship.
Experience coordinating field installation crews and managing installation logistics.

Skills and Competencies

Strong understanding of construction project workflows, submittal processes, and closeout requirements.
Familiarity with ADA signage standards and building code compliance requirements is a plus.
Proficient in Microsoft Office Suite; experience with project management software (Procore, Autodesk, or similar) a plus.
Excellent organizational skills with the ability to manage multiple projects simultaneously at various stages.
Clear and professional communication skills, both written and verbal, with the ability to interface confidently with clients, GCs, and field crews.
Problem-solving mindset with the ability to make sound decisions quickly in a fast-paced environment.
Detail-oriented with a strong sense of accountability for project outcomes.

Physical Requirements

Primarily office-based with occasional site visits required.
Valid driver's license and reliable transportation required.
