Director of Legal Operations & Services

Reports To: Head of Client Services

Location: Chicago, IL Metro Area (In Chicago: Hybrid - 2 to 3 days in-office per week, Fully Remote outside of Chicago)

We have a proprietary platform that powers transparent, fast, and secure case management across our client base.

Position Summary

The Director of Legal Operations & Services is a senior operational leadership role responsible for the performance, development, and day-to-day management of the firm's legal services support team. This person serves as the operational backbone of the firm's legal service delivery ensuring that paralegals are hired, trained, deployed, and supported to work at peak efficiency on behalf of the firm's corporate immigration clients.

The majority of this work is not a practicing paralegal role. The ideal candidate brings deep corporate immigration paralegal expertise, which they now channel into building and leading a high-performing team rather than carrying their own caseload. They will work cross-functionally with attorneys, firm leadership, and the finance team to ensure the paralegal operation runs effectively and in alignment with the firm's business goals.

Key Responsibilities

Team Leadership & Staff Management

Recruit, hire, onboard, and retain legal services support staff across all experience levels; partner with HR on job descriptions, offer letters, and compensation benchmarking
Conduct regular performance reviews, establish development plans, and manage performance improvement processes when necessary
Serve as the primary escalation point for paralegal staff concerns, conflicts, and day-to-day management issues
Foster a culture aligned with firm values: authenticity, ownership, resilience, and growth

Training & Development

Design and maintain a structured onboarding program for new paralegals, covering immigration substantive knowledge, platform use, client communication standards, and internal workflows
Identify ongoing training needs and coordinate skills development, including updates driven by regulatory or process changes
Build clear career pathways and promotion criteria within the paralegal team

Workload & Capacity Management

Oversee assignment of cases and work distribution across the legal services support team; balance workloads to ensure quality and meet deadlines
Monitor team capacity and proactively flag resource gaps or surpluses to firm leadership
Coordinate staffing coverage for PTO, medical leave, and other absences
Collaborate with attorneys to align paralegal support with client service commitments and case timelines

Operational Oversight & Reporting

Maintain primary accountability for operational performance indicators, including resource allocation, caseload velocity, quality control metrics, and workforce projections; provide analytical oversight regarding paralegal department financial variance.
Partner with Finance to conduct monthly operational audits utilizing the finance department's centralized metric definitions to ensure data integrity and eliminate cross-departmental reporting discrepancies.
Monitor key performance indicators including case throughput, turnaround times, error rates, and team utilization; present findings to firm leadership
Identify and drive continuous improvement initiatives in paralegal workflows, quality control, and technology utilization
Ensure consistent adherence to firm policies, quality standards, and compliance requirements across the paralegal team

Client Services Alignment

Maintain a service-first operational culture that supports the firm's high-expectation client relationships
Work with attorneys to ensure paralegal work product meets client expectations for accuracy, speed, and communication
Serve as an internal advocate for operational improvements that enhance the client experience

Qualifications

Required:

Bachelor's degree or paralegal certificate from an ABA-approved program
5+ years of corporate immigration applicable law firm services experience, with demonstrated expertise in employment-based matters (H-1B, L-1, TN, O-1, PERM, I-140, adjustment of status, etc.)
Experience at a law firm of comparable size or high-growth immigration firm.
2+ years in a supervisory, lead, or senior paralegal role with direct management or mentorship responsibilities
Proven ability to manage team performance, deliver feedback, and navigate personnel matters professionally
Strong organizational skills and ability to manage multiple priorities simultaneously in a deadline-driven environment
Excellent interpersonal and communication skills; comfortable working with attorneys, staff, and leadership
Proficiency with immigration case management software and standard office tools (Microsoft Office, document management platforms)

Preferred

Familiarity with operational data, reporting, and departmental budgeting, even in a secondary capacity
Experience with proprietary immigration platforms or CRM/workflow tools
Exposure to process improvement, project management, or legal operations frameworks
