Position Summary
The Accounting Specialist possesses a unique blend of accuracy, organization, and a foundational understanding of accounting principles. This individual is crucial for maintaining the integrity and precision of financial records, ensuring all data is entered accurately, efficiently, and securely. They seamlessly integrate with the operational team, contributing to streamlined and compliant financial operations.
In this role, this individual will handle essential tasks relating to efficiently collecting and entering data from daily sales, invoices, and expense receipts into the company's accounting system, resolving discrepancies, and reconcile accounts to ensure all financial records are up-to-date and accurate.
The Accounting Specialist will work closely with the operational team to help streamline workflows, uphold data integrity, and support our financial health with attention to detail and excellent organizational skills.
Responsibilities
- Accurately input data from various sources (invoices, receipts, payments, bank statements, etc.) into the accounting software.
- Verify the accuracy of data, identifying and correcting any discrepancies, and resolving data entry-related issues or inquiries.
- Maintain organized digital and physical files of documents.
- Communicate effectively to resolve data issues and clarify requirements.
- Monitor and manage data entry timelines and deadlines.
- Manage full-cycle accounts receivable and payable duties and account reconciliations.
- Assist with audit preparations and provide necessary data.
- Support the management team with account reconciliations.
- Ensure compliance with company policies and accounting procedures.
- Protect the confidentiality of financial information.
- Perform other tasks as required or assigned.
Qualifications and Skills
- Education: High school diploma or equivalent required; 1-2 years college or prior experience in Data Entry, Accounting, Finance, Bookkeeping, or related field is preferred.
- Exceptional Attention to Detail: Possesses a meticulous eye for detail, ensuring all data is entered without errors and discrepancies are identified and corrected promptly.
- High Level of Accuracy: Demonstrates a consistent ability to input data with precision, maintaining the reliability of information.
- Strong Organizational Skills: Capable of maintaining well-organized digital and physical files, ensuring easy retrieval and efficient record-keeping.
- Proficiency in Accounting Software & Microsoft Office: Skilled in using various accounting software (e.g., QuickBooks, etc.) and highly proficient in Microsoft Office Suite, Google Docs, especially Excel and Google worksheets, for data manipulation and reporting.
- Solid Understanding of Basic Accounting Principles: Possesses a foundational knowledge of accounting concepts and financial processes, enabling them to understand the context of the data they are handling.
- Efficient Data Entry Speed: Exhibits excellent typing speed and accuracy, allowing for efficient processing of large volumes of data.
- Discretion with Confidential Information: Demonstrates the utmost integrity and discretion when handling sensitive information, ensuring confidentiality is maintained.
- Team Player and Independent Worker: Capable of collaborating effectively with the accounting team while also being able to work autonomously and manage their tasks efficiently.
- Problem-Solving Abilities: Can identify and resolve data discrepancies or issues, contributing to a more accurate financial system.
- Timely Processor: Handles data entries in a timely manner, adhering to deadlines.
- Adaptability to Technology: Open and quick to learn new accounting software and technologies as they are introduced.
- Excellent Communication: Gives and receives information effectively and professionally. Has excellent written and verbal communication skills.
Job Type
- Full-time, Non-exempt
- Day shift availability. Weekly hours range from 30-40 hours per week. May be required to occasionally work nights, weekends and holidays to meet deadlines.

- Starting wage $18.00 - $20.00 per hour
Physical Demands
- Talking, sitting, standing, walking, stooping, kneeling, reaching with hands and arms, good finger coordination, and hearing. Must be able to read text that is close and at a distance with or without corrective lenses.
