The Office Assistant provides administrative and operational support to the Plant Manager, HR Manager and Safety Manager while also assisting with basic Quality Control (QC) testing and documentation as needed. This position plays an important role in keeping plant records organized, assisting employees and management, maintaining required documentation, and supporting the day-to-day needs of a fast-paced industrial operation. The ideal candidate is organized, dependable, comfortable working independently, and willing to assist in multiple areas as priorities change.
Plant Manager/Operations Support
· Provide general administrative support to the Plant Manager and plant leadership.
· Assist with maintaining production or operational data as requested.
· Prepare, scan, copy, file, and distribute documents.
· Assist with purchasing paperwork, packing slips, invoices, and other plant documentation.
· Maintain office supplies and assist with ordering supplies when needed.
· Help coordinate meetings, employee communications, visitors, vendors, and contractors.
· Maintain organized electronic and paper filing systems.
· Assist management with reports, spreadsheets, and other administrative projects.
· Communicate professionally with employees, vendors, customers, and management.
· Perform other administrative and operational duties as assigned.
Human Resources Support
· Assist HR Manager with employee paperwork and personnel documentation.
· Help prepare new-hire packets and on-boarding materials.
· Assist with employee orientation and onboarding activities as directed.
· Maintain confidentiality of employee and company information.
· Assist with employee events, communications, bulletin boards, and recognition activities.
· Provide employees with routine forms and direct HR-related questions to the HR manager when appropriate.
Safety Support
· Assist the Safety Manager with maintaining safety records and documentation.
· Enter and maintain employee safety training records.
· Help organize safety meetings documentation, sign-in sheets, inspections, and training materials.
· Assist with maintaining SDS records and other required safety documentation.
· Help track required employee certifications and training expiration dates.
· Assist with incident, near-miss, and corrective-action paperwork as directed.
· Maintain organized safety files for inspections and audits.
· Assist with preparation for safety meetings, training sessions, and regulatory inspections.
· Promote compliance with company safety policies and procedures.
Quality Control Support
· Assist with routine Quality Control testing when needed and properly trained.
· Collect and prepare sand/product samples according to established procedures.
· Perform basic QC tests according to company procedures and training.
· Accurately record test results and maintain QC documentation.
· Enter testing results into spreadsheets, logs, or other company systems.
· Maintain cleanliness and organization of the QC testing area.
· Assist with labeling, retaining, and disposing of samples according to established procedures.
· Notify appropriate management or QC personnel of results that appear outside established specifications.
· Maintain testing equipment and supplies and notify management when supplies or maintenance are needed.
· Follow established testing procedures and avoid altering, estimating, or modifying test results.
· Assist with additional QC responsibilities as training and experience allow.
Education and Experience
· High school diploma or GED required.
· Previous administrative, office, manufacturing, mining or industrial experience preferred.
· Strong organizational and time-management skills.
· Basic proficiency with Microsoft Word, Excel, Outlook, and general computer systems.
· Ability to accurately enter and maintain records.
· Strong attention to detail.
· Ability to handle confidential information appropriately.
· Ability to communicate professionally with employees and management.
· Ability to work independently and prioritize multiple responsibilities.
· Willingness to learn plant operations, safety requirements, HR processes, and Quality Control procedures.
· Ability to follow written testing procedures and accurately document results.
· Dependable attendance and punctuality are essential.
Physical & Work Environment Requirements
This position works primarily in an office environment but will occasionally perform duties within an active industrial plant and Quality Control environment.
The employee may be required to:
· Walk through plant and production areas.
· Wear required personal protective equipment (PPE).
· Work around dust, noise, heavy equipment and changing temperatures.
· Stand for periods of time while performing QC testing.
· Bend, reach, carry, and handle testing materials and samples.
· Lift and carry approximately 25-50 pounds occasionally, depending on sampling and testing requirements.
The office assistant is not expected to independently make management, HR, safety, or product-quality decisions outside the scope of their training and authority. Questions or concerns should be escalated to the appropriate manager.
Pay: $20.00 - $25.00 per hour
