Full Job Description

II. GENERAL PURPOSE

We are seeking a highly organized, dependable, and customer-focused Administrative Assistant to support the daily operations of our organization. The ideal candidate will possess excellent

communication skills, strong attention to detail, and the ability to manage multiple priorities in a fast-paced environment. This position plays a key role in providing administrative support to

leadership, staff, clients, and community partners while ensuring efficient office operations.

III. REPORTING AND SUPERVISORY RELATIONSHIPS

This position reports to the Associate Director. This position has no direct reports.

IV. CORE ESSENTIAL FUNCTIONS

The Administrative Assistant is required to:

Communicate regularly with the Associate Director on all issues related to the effective operation of the organization
Greet visitors and provide exceptional customer service in person, by phone, and via email.
Answer and direct incoming calls professionally.
Maintain calendars, schedule meetings, and coordinate appointments.
Prepare correspondence, reports, presentations, and other documents.
Organize and maintain electronic and paper filing systems.
Assist with data entry and maintain accurate records and databases.
Order and maintain office supplies and equipment.
Assist with payroll, invoices, expense reports, and other administrative functions as assigned.
Submit required and/or requested reports in a timely and accurate manner.
Coordinate meetings, training sessions, and special events.
Prepare meeting agendas and take meeting minutes when requested.
Maintain confidentiality of sensitive employee and organizational information.
Support Coordinators and departments with administrative projects and daily operations.
Ensure the office remains organized, professional, and welcoming.
Treat all employees fairly, equitably, and with respect and dignity.
Occasional evening or weekend work may be required to support organizational events or business needs.
Perform other administrative duties as assigned.

V. NON-ESSENTIAL FUNCTIONS

Other duties as assigned.

VI. JOB SPECIFICATIONS

High school diploma or equivalent.
Minimum of two (2) years of administrative or office support experience.
Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Google Workspace.
Excellent verbal and written communication skills.
Strong organizational and time management abilities.
Ability to prioritize tasks and meet deadlines.
Strong attention to detail and accuracy.
Ability to work independently and collaboratively as part of a team.
Professional demeanor and customer service skills.

VII. PREFERRED QUALIFICATIONS

Associate's degree in Business Administration or a related field.
Experience supporting nonprofit, education, or communitybased organizations.
Familiarity with payroll, bookkeeping, or human resources processes.

IX. PHYSICAL REQUIREMENTS

While performing the essential functions of this job, the employee is regularly required to stand, walk, sit, speak, and hear. The employee may be required to reach, bend, stoop, kneel, or crouch. The employee must occasionally lift and/or move supplies and equipment up to 15 pounds.

X. WORK ENVIRONMENT

This position is primarily performed in a professional office setting. The noise level in the work environment is moderate.
