This role is ideal for a highly organized professional who enjoys balancing staff scheduling, family communication, onboarding, compliance, and day-to-day business operations in a fast-paced ABA therapy environment.

Office Manager – ABA Therapy

A Million Solutions is seeking a highly organized, proactive, and detail-oriented Office Manager to oversee daily administrative operations and support the delivery of high-quality services. The Office Manager will serve as a central point of communication for staff, families, and community partners while ensuring smooth office operations, compliance, scheduling, and client support.

Key ResponsibilitiesAdministrative Operations

Manage daily office operations and ensure efficient workflow, open and close clinic daily.
Answer and direct phone calls, emails, and client inquiries professionally and promptly.
Maintain organized electronic and physical records.
Prepare, review, and distribute company correspondence, forms, and reports.
Order and maintain office supplies and equipment.

Staff Support & Scheduling

Coordinate employee schedules, client schedules, and service calendars.
Assist with staff onboarding, orientation, and training logistics.
Monitor staff attendance, call-outs, and scheduling changes.
Communicate scheduling updates to staff, families, and supervisors.
Support recruitment efforts, including posting jobs, screening applicants, and scheduling interviews.

Client & Family Relations

Serve as a primary point of contact for families regarding scheduling, documentation, and service coordination.
Ensure required intake and client documents are completed and maintained.
Respond to concerns and direct issues to the appropriate supervisor.
Maintain professional and positive relationships with clients, families, and community partners.

Compliance & Documentation

Assist with maintaining compliance with company policies and funding source requirements.
Track authorizations, service documentation, and deadlines.
Support quality assurance and audit preparation activities.

Billing & Financial Support

Maintain accurate records of client services and administrative activities.

Communication & Coordination

Facilitate communication between leadership, staff, families, and community stakeholders.
Schedule meetings, trainings, and supervision appointments.
Maintain confidentiality of employee and client information.
Assist leadership with special projects and operational initiatives.

Qualifications

High school diploma required; Associate's or Bachelor's degree preferred.
Minimum 1 years of office management, administrative, healthcare, education, or related experience.
Strong organizational and multitasking skills.
Excellent written and verbal communication skills.
Proficiency with Google Workspace, and scheduling software.
Ability to work independently and manage multiple priorities.
Experience in healthcare, ABA, behavioral health, education, or human services preferred.

Pay: $24.00 - $28.00 per hour
