We’re looking for a Mortgage Admin & Closing Specialist who provides excellent customer service to our customers as well as lenders. The Mortgage Admin & Closing Specialist assists in the shipping, booking, and funding of loans. This position also coordinates communication for loan closings between the borrower, R Bank, and third parties, and processes and delivers closing packages to the investors. Additional responsibilities include funding loans, verifying wire instructions with closing agents, and administrative duties within the department.

WHAT YOU’LL DO
- Emulate R Bank Core Values
- Help ensure loans are compliant with laws, regulations, and internal policies by consistently working loan exceptions; assist in monitoring mortgage exception reports to clear exceptions in a timely manner.
- Serve as the liaison between Mortgage and Loan Operations regarding handling insurance cancellation notices and sending final title policy to investors and loan ops when received.
- Review customer loan files for appropriate customer information as required by R Bank policy.
- Organize and scan loan files onto the Document Management System for review by the Mortgage Operations Manager; file original notes, titles, and recorded documents, and maintain Mortgage Operations file cabinets.
- Order and coordinate final draw packages, including obtaining all necessary signatures.
- Order and send modifications from attorneys as well as provide shipping label to borrower as needed.
- Order final surveys, when applicable, and obtain proof of insurance from borrower after final survey when necessary.
- Prepare payoffs for mortgage loans.
- Follow processes to ensure accuracy and legibility of all processed files.
- Complete required training, adhere to BSA/AML requirements and R Bank policy, and report any abnormal loan activity on high-risk customers.
- Facilitate mortgage and refinance loan closings to ensure all required documents are fully executed.
- Assist with post-closing check requests and document returns as needed.
- Process closing fee checks and prepare files for investor purchase and file closure, in addition to processing payoffs.
- Package and ship loans to title companies, investors, etc. as requested; assist in tracking mortgage loans from closing to investor purchase locks.
- Upload file information to MERS.
- Process purchase advice from the investors when applicable.
- Coordinate loan closings when necessary while still validating loan file compliance with set guidelines and regulations.
- Ensure timely delivery of complete executed documents to the post-closing department.
- Other duties as assigned.
WHAT YOU BRING TO THE TEAM
- High school graduate or equivalent required.
- Minimum of 12 months of experience including a general knowledge of loan funding.
- Minimum 12 months of mortgage funding experience required.
- Experience with Encompass preferred.
- Experience with TRID, 1-4 Family Residential, Escrow and HMDA.
- Ability to organize and manage multiple priorities while remaining extremely detail oriented.
- Ability to maintain composure under pressure.
- Ability to work efficiently and accurately in an atmosphere of frequent interruption.
- Strong communication skills.
- Ability to exhibit a professional, warm, friendly, approachable personal style to deal effectively with customers, vendors, and colleagues.
- Ability to read, understand, and carry out verbal and written instructions and to request clarification when needed.
- Proficient in arithmetic, bank practices and procedures, and departmental rules and regulations.
- Excellent typing and word processing skills. Ten-key calculator, typewriter, and keyboard skills. Familiarity with loan origination software, word processing, database management, and Internet-based software programs.
- Ability to pass background investigation and drug screen to the satisfaction of R Bank.
