Job Summary

We are seeking a dynamic and highly organized Office Assistant to join our team! In this vital role, you will be the backbone of our daily operations, ensuring the smooth flow of administrative tasks and providing exceptional support to staff and visitors alike. Your energy, attention to detail, and proactive attitude will help foster an efficient, welcoming, and productive office environment. This paid position offers an exciting opportunity to develop your administrative skills while contributing to a vibrant team dedicated to excellence. Youwill be the first contact for our office. Must be located in Roundup. Hours are 8-5 with a lunch from 12-1.

Duties

Manage multi-line phone systems, answer inquiries with professionalism and courtesy, and direct calls appropriately
Perform data entry tasks accurately using productivity software such as Microsoft Office and Google Workspace
Maintain organized filing systems, including digital documents and physical records, ensuring easy retrieval- including but not limited to parts tracking
Provide front desk support by greeting visitors, managing appointments, and handling customer support inquiries
Assist with office management duties such as supply inventory, calendar management, and scheduling meetings
Proofread correspondence, reports, and other documents to ensure clarity and accuracy while maintaining excellent phone etiquette
Tracking technicians and providing support
Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
Technical proficiency in office management systems and data entry processes
Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
Prior office experience or administrative experience is preferred; familiarity with clerical tasks such as filing and proofreading is essential
Exceptional customer service skills with a friendly demeanor at the front desk or over the phone
Strong time management skills to prioritize tasks effectively while maintaining productivity standards
Light cleaning duties for office maintenance
