Full Job Description

Payroll Specialist (Non-Exempt)

We're looking for an experienced Payroll Specialist to support payroll operations for a busy, field-based construction business. This role partners closely with Operations, HR, and Accounting to ensure employees are paid accurately and on time while maintaining compliance with California payroll requirements.

The ideal candidate is organized, detail-oriented, and enjoys working in a fast-paced environment where priorities can shift quickly. In addition to payroll responsibilities, this position provides occasional administrative support to HR and serves as a resource for employee payroll-related questions.

What You'll Do

Process weekly payroll for hourly and salaried employees across multiple crews and departments.
Review and audit timecards, labor allocations, job costing, payroll changes, and supporting documentation before payroll is processed.
Prepare and submit California Certified Payroll Reports while supporting prevailing wage compliance requirements.
Partner with field leaders to research and resolve payroll questions, timekeeping issues, and employee inquiries.
Maintain employee payroll records, earnings, deductions, garnishments, direct deposits, and other payroll data.
Process payroll-related transactions, including new hires, status changes, leaves of absence, and terminations.
Assist with payroll reconciliations, reporting, audits, year-end processing, and other payroll projects as needed.
Ensure payroll processes comply with federal, state, and local laws and company policies.
Provide administrative support for employee onboarding, personnel records, and other HR processes as needed.
Assist employees with payroll, benefits, and general HR-related questions, directing more complex issues to the appropriate HR team members.
Maintain accurate payroll and personnel documentation while protecting confidential employee information.
Collaborate with HR, Accounting, and Operations to support day-to-day business needs and ensure accurate employee and payroll records.
Recommend improvements that enhance payroll accuracy, efficiency, and overall process effectiveness.

We're Looking For

5+ years of payroll experience, preferably within construction or another multi-location environment.
Experience processing California payroll for hourly and salaried employees.
Certified payroll and prevailing wage experience strongly preferred.
Working knowledge of California wage and hour laws and payroll compliance requirements.
Strong attention to detail with the ability to identify and resolve payroll discrepancies.
Excellent organizational skills with the ability to manage multiple priorities and meet recurring deadlines.
Strong customer service and communication skills with the ability to build positive working relationships across the organization.
Experience with ADP Workforce Now or a similar HRIS/payroll system preferred.
Proficiency in Microsoft Excel and other Microsoft Office applications.
Bilingual English/Spanish is a plus.
