Job Overview

We are seeking a dynamic and proactive Assistant Office Manager to join our vibrant team. In this pivotal role, you will support the smooth operation of our office environment, oversee administrative functions, and assist in managing daily workflows. Your energetic approach and organizational expertise will ensure that our office runs efficiently, fostering a productive and welcoming atmosphere for staff and visitors alike. This position offers an exciting opportunity to develop your leadership skills while contributing to the overall success of our organization.

Duties

Main Telephone receptionist for CommStock Investments and their sister companies
Handle all paperwork required for setting up and maintaining new and existing brokerage accounts for CommStock Investments brokerage clients.
Maintain deposits, check requests and wire transfers for brokerage clients.
Facilitate the upkeep and growth of existing CommStock Report subscriptions, by calling for renewals, updating expirations and entering deposits .
Assist with and oversee mailings, database management for CommStock and all sister companies.
Assist crop insurance agents with filing and maintenance of crop insurance records and regular client correspondence as requested.
Customer Service/Problem Solving for Clients.
Assist customers with Property and Casualty claims as requested.
Order and maintain inventory of office supplies.
Margin clerk for CommStock Investments, handling ACH and wire transfers.
Calling back brokerage fills for clients as needed.
Stripping, saving and Uploading Radio, Newspaper columns and written reports to website and stations on File Zilla and emailing them as needed.
Look for ways to continuously improve and build upon the services of CommStock. Investments and its affiliated companies in a fiscally responsible way.
Prepare Reports as requested by President of CommStock or his representatives
Serve as Administrative assistant to Office Manager
Ensure Compliance with NFA and Clearing Firm regulations, working with Compliance Officer
Other Duties as Assigned

Skills

Proven experience in office management or administrative roles with strong clerical skills
Demonstrated supervising experience with the ability to lead and motivate a team effectively
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) along with advanced spreadsheet skills for budgeting and financial analysis
Familiarity with accounting software such as QuickBooks or similar financial tools; experience with bookkeeping and accounting processes is essential
Excellent communication skills for client interaction, vendor negotiations, and team collaboration
Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
Knowledge of event planning, calendar management, and multi-line phone systems to coordinate activities seamlessly
Experience in human resources functions including employee onboarding, training & development, and confidentiality management
Technical proficiency in office equipment management and familiarity with medical office or similar environments is a plus
Exceptional customer service orientation combined with professional phone etiquette and client communication skills
