Full Job Description

Position Summary

The Scheduling Coordinator is responsible for developing, maintaining, and managing staffing schedules for Direct Support Professionals (DSPs) and Licensed Practical Nurses (LPNs) across all group home locations. This role serves as the central point of contact for shift coverage, PTO requests, open shift management, and PRN (as-needed) staff coordination. The ideal candidate is highly organized, proactive, and thrives in a fast-paced human services environment where reliable coverage directly impacts the safety and quality of life of individuals in our care.

Working Conditions

Primarily office-based; may require occasional travel to group home locations.

Must be accessible by phone or electronic communication for urgent scheduling needs outside of core business hours.

Occasional evening or weekend availability may be necessary during high-need periods.

Qualifications

High School Diploma or Equivalent

Minimum 1-2 years of scheduling, staff coordination or administrative experience

Familiarity with IDD services, ABA services, group home operations or direct care environments a plus

Ability to multi-task

Microsoft Office (Outlook, Excel, Office)

UKG experience a plus

Exceptional organizational skills

Strong verbal and written skills, professional and calm demeanor under pressure

Knowlege of basic HR and labor compliance standards (overtime rules, break requirements, etc)

Scheduling and Shift Management

Build and maintain rotating and fixed shift schedules for all DSPs and LPNs across group home locations.

Ensure minimum staffing ratios are met at all times in accordance with regulatory and organizational standards.

Identify, post, and fill open shifts in a timely manner to prevent gaps in coverage.

Proactively communicate open shifts to eligible staff through scheduling software, phone, or other approved channels.

Monitor and adjust schedules in response to last-minute call-outs, shift swaps, and facility needs.

Coordinate with house managers and supervisors to ensure appropriate skill-mix coverage per shift.

PTO & Leave Coverage

Receive, log, and process all staff PTO requests in accordance with company policy.

Identify coverage needs for approved PTO in advance and arrange qualified replacements.

Track accrued, used, and remaining PTO balances in coordination with the HR department.

Communicate coverage plans to house managers and supervisors prior to leave dates.

Manage short-notice leave requests (sick calls, emergencies) and arrange same-day or next-day coverage as needed.

PRN Staff Coordination

Maintain an updated roster of all PRN (as-needed) DSPs and LPNs, including availability, certifications, and approved group home placements.

Assign PRN staff to open or coverage shifts based on qualifications, availability, and familiarity with specific residents.

Track PRN hours to ensure compliance with minimum and maximum hour requirements.

Onboard newly hired PRN staff into the scheduling system and communicate expectations regarding availability and response times.

Follow up with PRN staff to confirm shift acceptance and attendance.
