Maine Dentistry – Do Dental Differently

Locations: Portland and Gray | Full-time, on site

Position Summary

Maine Dentistry is seeking an organized, people-focused, and dependable Office Manager to lead the daily operations of one of our practices. This role is essential to keeping our schedule full, our team supported, and our patients cared for from the moment they walk in. If you thrive in a fast-paced environment, enjoy developing a team, and have a track record of solving problems before they grow, we would love to meet you.

Dental office experience is preferred, but not required. If you have managed a busy retail store, restaurant, clinic, salon, or small business, you already know most of this role. We will teach you the dental side.

Responsibilities

Oversee daily operations, manage the schedule to maximize production and re-appointment goals, and keep the day running smoothly.
Review daily and upcoming schedules proactively, fill openings, and coordinate coverage.
Supervise, coach, and develop the front office team.
Approve time off, timecards, and shift coverage.
Serve as the first point of contact for team questions, vendor coordination, and patient concerns.
Lead onboarding for new team members and ensure training is completed.
Manage supply ordering and facility coordination for your location.
Support a positive, professional workplace where team members want to build a career.

Qualifications

Three or more years of management experience in a fast-paced service environment.
Proven ability to lead, coach, and retain a team.
Strong problem-solving skills and the ability to handle difficult situations with professionalism.
Detail-oriented with a high level of accuracy and follow-through.
Comfortable learning new software, with experience in practice management systems (such as Dentrix or Eaglesoft) a plus.
Ability to maintain confidentiality of patient and employee information.
