Job Overview

Mastagni Holstedt A.P.C. seeks an experienced legal secretary to join our Labor and Employment practice, supporting attorneys who handle labor litigation, internal affairs investigations, Public Employment Relations Board (PERB) matters, unfair labor practice charges, and union governance. This position combines new-client intake with administrative and legal support for our attorneys. The ideal candidate brings seasoned judgment, excellent organization, and a client-focused mindset to a fast-paced, collaborative team.

For decades, Mastagni Holstedt, A.P.C. has served clients throughout California in matters related to labor and employment, criminal defense, personal injury and workers’ compensation. Founded in 1976, the Firm is recognized throughout California as a law firm focused on delivering effective representation to unions—predominantly public safety unions including police and fire—and employees on a wide array of matters. The Firm holds an AV-Preeminent Peer Review Rating by Martindale-Hubbell.

Our labor practice represents public employees and their unions in high-stakes matters including labor litigation, collective bargaining and contract enforcement, and PERB proceedings. The team also supports public safety members in internal affairs investigations and related administrative proceedings.

Skills:

Minimum of five years of legal secretary or paralegal experience. Experience supporting matters involving public secctor labor law, including PERB practice and procedure is a plus.
Demonstrated knowledge of the California Rules of Court and familiarity with applicable local rules and e-filing platforms.
Proven experience managing calendars, deadlines, and high-volume document production with minimal supervision.
Strong attention to detail and accuracy of work and commitment to collaborating with a team.
Proficiency in legal support software and document management systems.
Effective client communication skills combined with professional phone etiquette.
Familiarity with Microsoft Office Suite (Word, Excel) for document creation and data entry tasks.

What You’ll Do:

Manage attorney calendars and court deadlines in compliance with the California Rules of Court, local rules, and standing orders or other applicable rules.
Prepare, format, proofread, and finalize pleadings, motions, briefs, discovery, and exhibits for filing in California trial and appellate courts or for submission to PERB or other administrative bodies or parties.
Coordinate e-filing and hard copy filings or subpoenas, arrange service of process, and track confirmations and conformed copies or proofs of service.
Complete and submit new client intakes and conflict checks.
Draft, revise, and process correspondence, meet-and-confer letters, and grievances related to various labor disputes.
Organize and maintain electronic and physical files. Assemble and organize binders for exhibits, hearings, or trials.
Communicate professionally with clients, witnesses, unions, agency personnel, and opposing counsel.
Maintain client confidentiality.
Track billable hours as appropriate.

Job Type: Monday - Friday, full-time.
