Full Job Description

About LSCE

Luhdorff and Scalmanini, Consulting Engineers (LSCE) is a small groundwater consulting firm with approximately 60 employees. The LSCE headquarter office is located in Woodland, CA with additional offices in Chico, Roseville, and Daly City, and an office in Meridian, Idaho. LSCE provides engineering, hydrogeologic, and related groundwater services to municipalities, water districts, and other public and private entities throughout California. We seek a motivated and versatile ADA Document Specialist/Administrative Assistant to join our team of water resources and engineering professionals.

Job Summary

LSCE is seeking a driven and enthusiastic individual for a full-time in-person position at our corporate office in Woodland, CA, as an ADA Document Specialist/Administrative Assistant. This position combines document accessibility and deliverable production responsibilities with general office administrative support. The successful candidate will work closely with technical and administrative staff to produce high-quality client deliverables, ensure ADA compliance documents and presentations, and support daily office operations.

This role is ideal for an individual who is highly organized, self-driven, detail-oriented, efficient with deadlines, and enjoys both technical document work and providing administrative support in a collaborative office environment.

Job Responsibilities

Work with Project Managers and document authors throughout the document development process to guide the ADA compliance process for the document.
Conduct the formatting, proofreading, and reviewing of technical deliverables in Microsoft Word. All deliverables are reviewed for errors, accuracy, layout, consistency, formatting, and ADA requirements.
The creation and formatting of client presentations in PowerPoint.
Perform ADA remediation for documents and presentations.
Print and bind annual reports, PowerPoint, Engineering specifications, plan sets, and other documents needed.
Willingness to assume additional clerical responsibilities in other areas of the office as needed.
Provide front desk reception coverage, including greeting visitors and answering incoming calls.
Assist with scheduling meetings, conference rooms, and company events.
Prepare correspondence, forms, and internal communications.
Assist with filing, scanning, data entry, and document management.
Support onboarding and administrative projects assigned.
Maintain office supplies and coordinate office vendor services.
Assist with mail distribution, shipping, and package processing.
Provide back-up support to other administrative staff as needed.

Required Qualifications

Strong knowledge of Microsoft Office, including Word, Excel, and PowerPoint, with emphasis on table formatting, list creation, table of contents, and use of styles.
Demonstrated strong technical writing, editing, and proofreading skills (selected candidates must complete an editing and writing test).
Demonstrated knowledge of ADA requirements for digital accessibility.
Professional experience creating documents (e.g., PDF, MS Word, PowerPoint) that meet or exceed ADA accessibility standards.
Understanding of legal frameworks governing document accessibility, including ADA Title II and III requirements, Section 508 standards, and related state and local accessibility regulations and WCAG guidelines related to long documents.
Experience remediating existing documents to meet or exceed ADA accessibility standards.
Direct professional experience with Acrobat Pro.
Excellent interpersonal and communication skills with the ability to communicate effectively with team and supervisors on the status of projects, explain technical accessibility requirements in clear, actionable terms appropriate to various stakeholder audiences, and communicate ideas or suggestions.
Ability to multi-task, prioritize, and work independently as well as in team environments, often under tight deadlines.
Detail-oriented and able to prioritize assignments.
Ability to take creative direction constructively.

Preferred Qualifications

Experience using CommonLook Office and/or CommonLook PDF for document remediation.
Knowledge of Adobe InDesign and understanding of Adobe Creative Suite.
Experience creating fillable PDF forms in Word or Acrobat
Experience with specialized accessibility evaluation tools beyond basic automated checkers, including advanced screen reader testing techniques and assistive technology compatibility verification.
Thorough knowledge of assistive technologies, including screen readers (JAWS, NVDA, VoiceOver), magnification tools, speech recognition software, and alternative input devices used by individuals with disabilities.

Education/Experience

Bachelor’s degree in communications/English/Journalism/or related fields preferred.
1-3 years’ experience in a related or similar position, preferably with document accessibility compliance experience.
Experience working in Architecture/Engineering/Consulting (AEC) firms is a plus.

Salary and Benefits:

LSCE offers a competitive salary ($75,000 – $85,000 per year) and benefits package. Salary will be dependent upon qualifications and experience. LSCE benefits include health, dental, life, and 401k and profit-sharing retirement plans.
