Full Job Description

Job Overview

Very busy/growing practice is seeking a highly organized, dependable, and detail-oriented Surgical Scheduler to join our specialty practice and work closely with one of our surgeons.

In this important role, you will help coordinate each patient's surgical journey—from the decision to proceed with surgery through scheduling, insurance authorization, preoperative requirements, and preparation for their procedure. You will serve as a primary point of communication between patients, the surgeon, clinical staff, hospitals, surgical facilities, insurance companies, and other members of the healthcare team.

The ideal candidate is an excellent communicator who enjoys helping patients, can manage multiple priorities, and takes pride in keeping details organized and following tasks through to completion. This position requires professionalism, discretion, compassion, and a strong commitment to patient confidentiality.

Previous medical office or surgical scheduling experience is preferred; however, we are willing to train an exceptional candidate who demonstrates maturity, reliability, strong organizational skills, and a genuine desire to learn and grow with our practice.

Responsibilities

Coordinate and schedule surgical procedures accurately and efficiently.
Maintain and manage the surgeon's surgical calendar.
Coordinate surgery dates and necessary information with hospitals and surgical facilities.
Communicate with patients throughout the surgical scheduling process and provide clear instructions regarding appointments, testing, and surgery preparation.
Verify insurance eligibility and coverage and assist with obtaining surgical prior authorizations.
Coordinate preoperative testing, medical clearances, appointments, and other requirements.
Review patient records and surgical documentation to ensure required information is complete before surgery.
Maintain accurate patient information and documentation within the electronic medical record (EMR/EHR).
Communicate with physicians, clinical staff, hospitals, surgical facilities, insurance companies, and outside medical offices.
Track outstanding authorizations, testing, clearances, and documentation to ensure patients are prepared for their scheduled procedures.
Schedule appropriate postoperative appointments.
Answer patient phone calls and messages professionally and compassionately.
Assist patients who may be anxious or overwhelmed by the surgical process.
Maintain strict HIPAA compliance and patient confidentiality.
Assist with medical terminology, CPT and ICD-10 information as appropriate to the position and level of training.
Prioritize competing responsibilities in a busy specialty-practice environment.
Assist with additional administrative and patient-care coordination responsibilities as needed.

Qualifications & Skills

High school diploma or equivalent required.
Previous experience in a medical office, surgical scheduling, patient coordination, insurance authorization, medical billing, or other healthcare setting is preferred but not required.
Strong organizational skills and exceptional attention to detail.
Excellent verbal and written communication skills.
Professional and compassionate phone etiquette.
Strong customer service and interpersonal skills.
Ability to communicate comfortably with patients, physicians, clinical staff, and outside organizations.
Ability to manage multiple responsibilities and deadlines while maintaining accuracy.
Dependable, accountable, and able to follow tasks through to completion.
Comfortable receiving feedback and learning new processes.
Strong computer and data-entry skills.
Experience with EMR/EHR systems is preferred.
Familiarity with medical terminology, health insurance, prior authorization, CPT and ICD-10 coding is a plus.
Microsoft Office experience is preferred.
Ability to maintain confidentiality and exercise good judgment when handling sensitive patient information.
Ability to work independently once trained while also contributing to a collaborative team environment.

Just as importantly, we want someone who understands that surgery can be an emotional and sometimes overwhelming experience for patients and who will treat each patient with patience, kindness, and professionalism.
