Job Summary

We are seeking an energetic and detail-oriented Front Desk Associate to serve as the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and support administrative functions to ensure smooth daily operations. Your enthusiasm and organizational skills will help create a positive environment for clients, visitors, and team members alike. Duties

Greet visitors and clients warmly, ensuring a professional and friendly first impression
Answer multi-line phone systems promptly and direct calls efficiently using proper phone etiquette
Manage appointment scheduling and calendar management for staff and executives
Perform data entry tasks using productivity software such as Microsoft Office, spreadsheets, and Word processing tools
Handle clerical responsibilities including filing, proofreading, and maintaining organized records
Support office management by overseeing supplies inventory, coordinating mail distribution, and assisting with general administrative tasks
Utilize computer skills to operate office equipment, update databases like QuickBooks, and ensure accurate documentation of client communication and support activities

Qualifications

Proven experience in office administration or front desk roles with strong organizational skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets and data entry processes
Technical proficiency with multi-line phone systems, office management software, and computer literacy in general
Bilingual abilities are highly desirable to serve diverse client needs effectively
Excellent customer service skills with a professional phone manner and strong communication abilities
Prior experience with clerical tasks such as filing, proofreading, and calendar management preferred
Demonstrated ability to multitask efficiently while maintaining attention to detail in a fast-paced environment
