Executive Assistant to CEO/Owner — Part-Time (20–25 hrs/week)
New Construction Sports Facility — St. Augustine, FL | $20/hour | On-site

Job Overview
Ever wanted a front-row seat to watching something get built — literally? We're a brand-new sports facility opening in St. Augustine, founded with a real mission: teaching girls valuable life skills through sport and helping them empower themselves on and off the court.

We're seeking a dynamic, highly organized Executive Assistant to support our CEO/Owner — a successful female entrepreneur, published author, and genuine go-getter who has built businesses from the ground up. This role is vital to keeping daily business running smoothly: managing schedules, coordinating projects, and handling confidential information with professionalism and discretion. The ideal candidate brings a proactive attitude, exceptional organizational skills, and the ability to multitask effectively in a fast-paced environment. Duties

Manage the CEO/Owner's calendar — meetings, appointments, and business travel — using Microsoft Outlook and other productivity tools
Provide comprehensive executive support: email management, drafting and proofreading correspondence, transcription
Support financial budgeting and bookkeeping — budgets, expenses, invoices, and reports in QuickBooks
Handle client calls and follow-ups with warmth and professionalism
Build and maintain spreadsheets and reports in Excel
Organize and plan events — meetings, conferences, and special occasions — to ensure seamless execution
Maintain confidential records, filing, and data entry with accuracy
Coordinate projects: track deadlines, prepare reports, and facilitate internal communication so teams stay aligned
Run smooth virtual meetings via video conferencing; manage tools like DocuSign and multi-line phone systems
Dive into special projects as we grow — no two days alike

What we're looking for

A high-energy action taker — you must be one; this role moves fast
2–3+ years supporting a C-suite executive or business owner
Strong organizational skills, sharp prioritization, and the ability to multitask in a busy environment
Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Outlook calendar management
Excellent typing speed and accuracy; sharp proofreading
Experience with event planning and travel arrangements
QuickBooks and bookkeeping knowledge
Exceptional written and verbal communication — phone etiquette, internal communication, customer service
Total discretion and integrity with confidential information
Strong collaboration skills to work effectively with team members at all levels
An organized, independent self-starter who thinks for themselves and communicates directly
Great professional references (we will check them)
