Assistant Executive Director

LPN or RN Preferred | Full-Time

About the Role

Vantage Senior Care is seeking a compassionate, organized, and motivated Assistant Executive Director to join the leadership team at one of our senior living communities. Experience in supportive living, assisted living, and/or memory care is preferred.

This position plays a vital role in supporting the Executive Director with the day-to-day operations of the community while ensuring exceptional care, regulatory compliance, and outstanding service for residents, families, and team members.

This is an excellent opportunity for an experienced nurse or healthcare professional looking to transition into senior living operations and advance into executive leadership. The ideal candidate is a strong communicator, problem solver, and team leader who thrives in a fast-paced environment and is passionate about serving older adults.

Minimum Qualifications

Current LPN license preferred; RN strongly encouraged to apply
Previous leadership experience in senior living, long-term care, assisted living, supportive living, memory care, or healthcare administration
Strong organizational, communication, and interpersonal skills
Experience with Microsoft Office and electronic health records (PCC experience preferred)
Knowledge of payroll, human resources, and regulatory compliance preferred
Ability to multitask while maintaining exceptional attention to detail
Experience with the IDPH Healthcare Worker Registry is a plus

Key ResponsibilitiesCommunity Operations

Support the Executive Director in overseeing the daily operations of the community
Prepare and maintain daily census reports
Manage resident financial files and administrative records
Prepare resident leases, contracts, and admission documentation
Complete resident admissions and maintain documentation within the PCC system
Order and maintain office supplies and administrative inventory
Assist with special projects and operational initiatives as assigned

Human Resources & Employee Support

Assist with recruitment, onboarding, orientation, and employee retention initiatives
Maintain personnel files in accordance with federal, state, and company regulations
Ensure background checks, references, and required annual training documentation remain current
Facilitate orientation programs, employee education, and compliance documentation
Support employee engagement initiatives and promote a positive workplace culture

Payroll & Staffing

Process bi-weekly payroll by reviewing timecards, correcting missed punches, and coordinating approvals with department managers
Maintain weekly staffing reports and assist the Staffing Coordinator with scheduling updates
Communicate staffing changes and support departmental scheduling needs
Assist with employee injury reporting and Workers' Compensation documentation

Resident Experience

Support a welcoming and seamless move-in process for new residents
Ensure resident documentation is accurate, complete, and compliant
Assist leadership in maintaining a safe, positive, and resident-centered environment
Deliver exceptional customer service to residents, families, visitors, and team members
