On-Site Operations Support | Financial Accuracy | Professional Office Leadership

Position Overview

We are seeking a dependable and detail-oriented Office Manager / Bookkeeper to support daily administrative, financial, and operational functions in a professional manufacturing/business environment. This is a full-time, on-site position (5 days per week) for someone who brings strong accounting fundamentals, organizational discipline, and a collaborative, business-focused mindset.

The ideal candidate is confident in QuickBooks Online, experienced with accounts receivable, accounts payable, and payroll, and comfortable supporting light HR and operational projects—without micromanaging or overstepping boundaries.

What You’ll OwnAccounting & Financial Operations

Manage daily bookkeeping using QuickBooks Online
Process and reconcile Accounts Receivable (AR) and Accounts Payable (AP)
Prepare and process payroll, ensuring accuracy and compliance
Support reconciliation of bank and credit card accounts
Maintain accurate financial records and supporting documentation
Assist with month-end and year-end close activities

Tax & Compliance Support

Support employment tax filings and payroll-related reporting
Maintain organized records for audits and regulatory reviews
Assist leadership with financial and compliance documentation as needed

Office & Administrative Management

Oversee day-to-day office operations and workflow
Schedule and track required inspections (including fire suppression systems and safety-related services)
Maintain organized digital and physical filing systems
Scan, upload, and archive documents accurately
Support purchasing, vendor coordination, and office supply management

HR & Employee Administration (Light Support)

Enter and maintain associate information in company systems
Support onboarding documentation and recordkeeping
Assist with basic HR administrative tasks (non-managerial)
Maintain confidentiality and professionalism at all times

Project & Systems Support

Assist with light project coordination and tracking
Support process improvements and workflow organization
Help maintain internal tracking systems and reports
Provide administrative support for leadership initiatives

E-Commerce & Systems (Bonus Skill)

Support basic e-commerce-related accounting and administrative functions (preferred)
Assist with transaction tracking, reconciliation, and reporting related to online sales

Required Qualifications & Experience

Proven experience as an Office Manager, Bookkeeper, or similar role
Strong working knowledge of QuickBooks Online (required)
Hands-on experience with:
Accounts Receivable
Accounts Payable
Payroll processing
Strong organizational and documentation skills
Ability to scan, file, and manage digital records efficiently
Professional, collaborative communication style
Ability to work independently and manage multiple priorities

Preferred Qualifications (Nice to Have)

Experience with employment/payroll taxes
Exposure to e-commerce accounting platforms
Light HR administration experience
Project coordination or administrative project support experience
Experience working in manufacturing, distribution, or small-to-mid-sized business environments

Professional Expectations

On-site presence required: 5 days per week
Reliable attendance and punctuality

Not overly controlling or micromanaging—able to work collaboratively within established structures
