Full Job Description

Aspire Health Partners, Inc. (Aspire), is a non-profit 501(c)3 behavioral healthcare organization. Aspire Health Partners is Florida’s largest Behavioral Health Non-Profit that provides a full continuum of behavioral healthcare services across six (6) Central Florida Counties; Brevard, Hillsborough, Lake, Orange, Osceola and Seminole.

The Registration and Business Office Specialist provides administrative and fiscal support to the clinical teams and the programs we serve. The specialist is responsible for optimizing the client’s entry into the Continuum of Care by streamlining intake and financial processes to ensure delivery of high-quality administrative and logistical support.

Maintaining triage functions and prioritizing clinical evaluations based on information gathered, demonstrating working knowledge of the Baker Act law, Crisis Management, DSM V, Impairment levels, as well as Stages of Change.
Serve as the primary point of contact by providing professional, high‑quality customer service during all client and visitor interactions
Maintain a working knowledge of assigned programs and broader organizational services to accurately address inquiries and provide guidance
Manage front‑office operations, including high‑volume phone calls, reception duties, and timely response to email and phone inquiries
Prepare and maintain professional correspondence, reports, and documentation to support program compliance requirements
Coordinate with clinical and support staff to promote efficient workflows and seamless client transitions across programs
Represent the organization appropriately by adhering to the professional business‑casual attire policy
Follow standardized administrative and financial workflows to ensure operational continuity and regulatory compliance
Accurately enter, update, and maintain client data within the designated Electronic Health Record (EHR), including consistent use of the Central Registry for dosing clients
Utilize multiple systems, databases, dashboards, and Excel tracking tools as required to support program protocols and reporting
Adhere to established front‑office procedures while navigating various software platforms to ensure consistency across programs
Complete financial assessments to determine client eligibility for sliding fee scale services
Verify insurance benefits for private insurance, Medicaid, and Medicare to confirm coverage
Apply appropriate funding sources, including grants and payer types, to client accounts to support accurate billing and compliance
Collect and document client payments, co‑pays, and deductibles at the point of service
Clearly communicate financial responsibilities and payment options to clients
Complete end‑to‑end registration and intake processes for all clients entering the program
Schedule and coordinate appointments across multiple programs to facilitate access to care
Arrange interpreter services and other logistical supports as needed to promote client accessibility
Accurately process and maintain intake documentation within the appropriate EHR system
Perform all duties while maintaining high standards of ethical and professional conduct and adhering to all company policies and procedures
Carry out additional duties as assigned; responsibilities may change at any time based on organizational needs
Most importantly, all functions must be completed while maintaining high standards of ethical and professional conduct while adhering to agency policies and procedures.

Qualifications

High School Diploma or Equivalent
Knowledge of insurance verification, appointment scheduling, up front collections, and data entry experience.
Requires excellent interpersonal and communication skills when dealing with internal and external customers.
Ability to quickly adapt to different software platforms, including EHR systems, dashboards, and Microsoft Excel and Word.
