Full Job Description

Procedure SchedulerPosition SummaryThe Procedure Scheduler is responsible for coordinating all diagnostic and therapeutic procedures ,including Epilepsy Monitoring Unit (EMU) admissions, ambulatory EEGs, routine EEGs, Vagus Nerve Stimulator (VNS) procedures, and other provider-ordered testing. This position serves as the primary liaison between patients, providers, insurance companies, hospitals, and internal clinical teams to ensure timely scheduling, complete authorizations, and an exceptional patient experience.The Procedure Scheduler plays a critical role in maximizing provider productivity, EMU occupancy, and patient access while maintaining compliance with payer requirements and organizational policies.Essential Duties and ResponsibilitiesPatient Scheduling

Schedule all diagnostic and therapeutic procedures in accordance with physician orders.
Coordinate EMU admissions, including hospital bed availability and physician schedules.
Schedule:
Routine EEGs
Ambulatory EEGs
Long-term EEG monitoring
EMU admissions
VNS interrogations/programming
Neurostimulation procedures
Other physician-ordered diagnostic testing
Contact patients to coordinate appointment dates and provide preparation instructions.
Maintain waitlists and proactively fill cancelled appointments.

Insurance Verification & Authorizations

Verify insurance eligibility prior to scheduling.
Obtain required prior authorizations for all scheduled procedures.
Ensure all payer-specific documentation requirements are met.
Monitor authorization expiration dates.
Communicate authorization issues to providers and clinical staff promptly.

Patient Coordination

Educate patients regarding:
Procedure expectations
Arrival times
Medication instructions
Required paperwork
Financial responsibilities
Confirm appointments 48–72 hours prior to service.
Reduce no-show rates through proactive patient communication.
Answer scheduling-related questions professionally and compassionately.

Clinical Coordination

Work closely with:
Physicians
Nurse Practitioners
EEG Technologists
EMU staff
Medical Assistants
Referral Coordinators
Ensure all required clinical documentation has been received before scheduling.
Verify physician orders are complete and signed.

Documentation

Accurately document all patient interactions within the electronic health record (EHR).
Maintain scheduling notes and authorization status.
Upload payer authorization documentation.
Track pending authorizations and follow-up activities.

Revenue Cycle Support

Ensure procedures are scheduled only after required payer approvals.
Assist in reducing denials related to authorization or scheduling errors.
Communicate scheduling issues impacting billing or reimbursement.
Support front-end revenue cycle initiatives through accurate documentation.

Operational Responsibilities

Maintain high EMU occupancy through proactive scheduling.
Monitor physician schedules for optimal utilization.
Coordinate cancellations and rescheduling efficiently.
Generate daily and weekly scheduling reports.
Participate in process improvement initiatives.

Required QualificationsEducation

High school diploma or GED required.
Associate degree in healthcare administration or related field preferred.

Experience

Minimum two years of medical scheduling experience.
Neurology or epilepsy experience strongly preferred.
Experience scheduling hospital-based procedures preferred.
Prior authorization experience required.

KnowledgeWorking knowledge of:
