Office Coordinator / Bookkeeper

Full-Time | 7:30am - 4:00pm

At Royal Renovations, we restore homes, businesses, and peace of mind after water, fire, storm, and other property damage. Behind every successful project is a well-organized office, accurate financial records, and exceptional customer service.

We're looking for an experienced Office Coordinator / Bookkeeper who thrives in a fast-paced environment and enjoys wearing multiple hats. This position is responsible for overseeing the daily administrative and financial operations of the office, including bookkeeping, payroll, accounts payable, accounts receivable, and general office administrative duties.

If you're highly organized, detail-oriented, and take pride in keeping everything running efficiently, we'd love to meet you.

Key Responsibilities

Bookkeeping & Accounting

Maintain accurate and current financial records using QuickBooks Online.
Process vendor invoices, receipts and manage Accounts Payable.
Generate customer invoices and manage Accounts Receivable collections.
Reconcile bank accounts and credit card statements.
Assist with financial reporting.
Follow up on outstanding invoices and customer balances.
Communicate professionally with customers regarding billing questions.
Help ensure timely collection of project receivables.

Payroll & Human Resources

Process bi-weekly payroll accurately and on time.
Maintain employee payroll records and timekeeping information.
Administer payroll deductions, PTO tracking, and employee benefits.
Assist with employee onboarding and offboarding.
Maintain personnel files and ensure compliance with company policies.
Support other HR functions.

Office Administration

Coordinate daily office operations and administrative functions.
Answer phones when needed and provide exceptional customer service.
Coordinate incoming mail, office supplies, and vendor relationships.
Maintain organized electronic and paper filing systems.

Qualifications

3+ years of bookkeeping and/or office administration experience required.
Previous experience in construction or the restoration industry is preferred.
Strong understanding of Accounts Payable, Accounts Receivable and payroll.
Experience with QuickBooks Online and QuickBooks Time (T-sheets) required.
Proficiency in Microsoft Office.
Excellent organizational and time management skills.
Strong written and verbal communication skills.
High level of professionalism, integrity, and confidentiality.
Ability to prioritize multiple responsibilities while maintaining accuracy.
