Full Job Description

AIS Planning is dedicated to providing the very best in wealth management and retirement plan services in central Minnesota. We focus on helping clients think bigger and plan better so they can enjoy more.

We are looking for a versatile, detail-driven professional to serve as the operational backbone to support the Retirement Plan Team and Wealth Management Team with client service and operational administration plus support financial regulatory compliance. This role is ideal for someone who doesn't just execute tasks well — they notice friction points, find smarter ways to get things done with the tools we already have, and isn't afraid to flag ways our day-to-day processes could run smoother.

Position Description

The primary focus of this position is to support the Retirement Plan Team and Wealth Management Team with client service and operational administration while supplementing support to the Chief Compliance Officer with financial regulatory compliance. This position is responsible for communicating well with internal and external clients and responding to their needs while meeting AIS Planning's core values of Genuine & Authentic, Team-Centric, Pursuit of Excellence, and Stewardship. The AIS Client Service Associate and Compliance Administrator:

Client Service Responsibilities:

Gathers, enters, and maintains client information within various systems, including CRM and financial planning systems.
Verifies accuracy of connections compared to Vendor Data, including confirming active accounts and appropriate asset classes, training and assisting clients with online connections, and working with vendors on connection issues.
Collaborates with team members to prepare for client updates and reviews, ensuring all required paperwork is ready and organized; proactively follows up with clients to guarantee timely completion and processing of all documentation.
Provides support to existing plan participants and the Retirement Plan Team through the coordination of 401(k) enrollment, education, and processes.
Supports client onboarding and contract maintenance.
Handles incoming calls and resolves client issues through the necessary channels in a timely and professional manner.
Serves as a backup for front desk responsibilities, including answering calls, greeting visitors, and scheduling appointments.
Maintains CRM data and calendar integrity, including data entry, client recruitment data, and client record maintenance.

Compliance Responsibilities:

Testing, auditing, and reviewing compliance policies and procedures including emails, trade reviews and other monthly activities.
Assisting the Chief Compliance Officer (CCO) with performing regulatory risk assessments and completing monthly and annual reviews.
Assisting with vendor and manager annual due diligence.
Following up on assessment findings and making recommendations to update procedures and/or policies.
Reviewing all marketing materials for compliance.
Assisting with inquiries from clients and team members regarding compliance-related issues.
Documentation and development of written policies and procedures while assuring updates in all appropriate documentation throughout the firm.
Identifies inefficiencies in day-to-day compliance process and brings observations to the CCO.
Prepares drafts of regulatory filings to finalize with the CCO.

Requirements

Associate's degree required; bachelor's degree preferred.
Series 65 or 66 FINRA license preferred (or obtain within 6 months of hire date).
2+ years in a client service, operations or compliance support role within financial services (wealth management RIA experience preferred).
Industry knowledge, including investment products, investment instruments, markets, and operational functions preferred.
