Full Job Description

About the Position

We are looking for a motivated, organized, and customer-focused Office Manager / Service Advisor to join our automotive repair shop. This is a key position that combines customer service, repair-order management, scheduling, office administration, and day-to-day shop operations.

The ideal candidate is someone who is comfortable talking with customers, understands the importance of providing excellent service, and can keep the front office organized and running efficiently. Automotive experience is preferred, but we are willing to train the right person who has strong customer service, communication, and organizational skills.

Responsibilities

Greet customers and provide a friendly, professional experience
Answer phones, respond to customer inquiries, and schedule appointments
Write and manage repair orders from check-in through completion
Listen to customers' concerns and accurately document vehicle problems
Communicate repair recommendations, estimates, and timelines to customers
Explain repairs and maintenance in a way customers can easily understand
Obtain customer authorization before repairs are performed
Communicate with technicians regarding vehicle concerns, diagnoses, and repair status
Keep customers updated throughout the repair process
Review completed repairs with customers and explain work performed
Prepare invoices and collect customer payments
Handle warranty and parts-related paperwork as needed
Manage daily office operations and maintain accurate records
Assist with accounts receivable, deposits, and other basic office duties
Maintain organized customer and vehicle records
Help monitor shop workflow and make sure vehicles move efficiently through the repair process
Follow up with customers regarding declined repairs and recommended maintenance
Help maintain a clean, professional, and welcoming front office
Address customer questions or concerns professionally and work toward positive resolutions
Perform other administrative and shop-support duties as needed

Qualifications

Excellent customer service and communication skills
Strong organizational and time-management skills
Professional and friendly attitude
Ability to multitask in a busy environment
Comfortable using computers and learning automotive shop management software
Strong attention to detail
Ability to communicate effectively with both customers and technicians
Ability to explain automotive repairs and recommendations clearly
Previous automotive repair or service advisor experience is a plus
Previous office management, customer service, or administrative experience is a plus
Valid driver's license
Must be dependable, punctual, and willing to work as part of a team
