Overview

We're looking for an organized, proactive, and detail-focused Operations Coordinator to help keep our real estate business operating at a high level. This role is the foundation of our day-to-day operations, ensuring systems stay organized, communication flows smoothly, and clients receive an exceptional experience from beginning to end.

The ideal candidate enjoys creating order, anticipating needs before they arise, and following proven processes with precision. You'll manage calendars, support marketing initiatives, coordinate administrative responsibilities, and assist with transaction-related activities while working closely with agents, clients, and vendors.

Responsibilities

Manage calendars, schedule appointments, property showings, inspections, meetings, and important deadlines.
Maintain organized digital and paper filing systems for quick and efficient document retrieval.
Enter, review, and proofread documents to ensure accuracy and attention to detail.
Coordinate communication between clients, agents, lenders, title companies, inspectors, and other parties throughout the transaction.
Deliver outstanding customer service by responding promptly and professionally to phone calls and emails.
Support day-to-day office operations, including supply management, organization, and administrative projects.
Assist with marketing initiatives, including social media, email campaigns, print materials, and listing promotion.
Maintain confidentiality while handling sensitive client and business information.
Identify opportunities to improve efficiency and help refine office processes.

Qualifications

Previous administrative, operations, or office support experience, preferably in real estate or a related professional environment.
Exceptional organizational skills with the ability to manage multiple priorities simultaneously.
Highly detail-oriented with a commitment to producing accurate, polished work.
Self-motivated, proactive, and able to work independently with minimal supervision.
Process-driven mindset with the ability to consistently follow established systems.
Strong calendar management and scheduling experience.
Excellent written and verbal communication skills with professional phone etiquette.
Proficiency with Google Workspace (Gmail, Docs, Sheets, Drive, Calendar) and the ability to quickly learn new software.
Ability to maintain confidentiality and exercise sound judgment.
Strong time management skills with the ability to meet deadlines in a fast-paced environment.
