Alleluia Lutheran Church is seeking an organized, welcoming, and detail-oriented Communications and Administrative Coordinator to become an essential part of our ministry team.
As the first point of contact for members, visitors, and the community, this person helps create a warm and welcoming environment greeting members while ensuring the day-to-day operations of the church office run smoothly. This position also plays a vital role in church communications, supporting worship, and the ministries of our congregation.
Position Summary
The Communications and Administrative Coordinator manages the daily operations of the church office, coordinates internal and external communications, and provides administrative support to the pastoral staff, ministry leaders, and congregation. This position reports to the Lead Pastor.
Primary Responsibilities
Worship & Communications
Serve as the primary coordinator of church communications, helping connect members, visitors, and the community with the life and ministry of Alleluia Lutheran Church.
· Prepare the weekly worship flow digitally by creating presentation slides and other worship support materials.
· Design digital and print promotional materials using Canva or similar software.
· Coordinate and create weekly email newsletter and congregation-wide communications.
· Maintain and regularly update the church website.
· Manage the church’s social media presence (Facebook, Instagram, and other platforms), creating engaging content that highlights worship, ministries and events.
· Coordinate in-house communication and publicity for special events, seasonal worship opportunities, outreach ministries, and community activities.
Office Administration
· Welcome members, visitors, and community guests with warmth and hospitality.
· Answer phones, respond to emails, and assist with general office inquiries.
· Provide admin support to pastor in creating and editing documents, spreadsheets etc.
· Work collaboratively with fellow staff to help further ministries of the church.
· Assist with general office organization, process incoming and outgoing mail, and maintain office supplies and equipment.
· Other administrative duties as assigned.
Calendar & Scheduling
· Maintain the master church calendar.
· Coordinate building use and facility scheduling.
· Assist with the pastors' calendars and meeting schedules.
· Coordinate room reservations and ministry events.
Membership & Church Records
· Maintain membership records and church database.
· Record worship attendance and sacramental records.
· Prepare and distribute meeting agendas and minutes as requested.
· Assist with annual reports and other administrative projects.
Confidentiality
· Handle confidential pastoral care information, financial records, and membership information with discretion and professionalism.
Qualifications
Required
· High school diploma or equivalent.
· Administrative or office management experience.
· Excellent written and verbal communication skills.
· Strong organizational and time management abilities.
· Ability to work independently while supporting a collaborative staff team.
· Proficiency with Microsoft Office (Word, Excel, Outlook) and Google Workspace.
Preferred
· Experience working in a church, school, or nonprofit organization.
· Familiarity with Canva or similar graphic design software.
· Experience creating newsletters, presentations, digital publications, and communication materials.
· Experience managing websites and social media platforms for an organization or business.
· Experience managing databases or church management software.
Schedule
This is a part-time position (24–26 hours per week) with preferred office hours on Tuesday, Wednesday, and Thursday. Some flexibility is available for communication-related work that may occasionally be completed remotely.
