Administrative Assistant (Contract-to-Hire)
Location: Hybrid, Minneapolis/St. Paul Metro Area (Onsite 3 days per week)
Schedule: Full-Time, Monday-Friday
Pay: Competitive hourly rate during contract period | Conversion salary range: $29-$33/hour equivalent

Beacon Hill is partnering with a growing organization to identify an Administrative Assistant who will serve as a key partner to executive leadership within a technology-focused environment. This individual will provide high-level administrative support to a senior executive and additional department leaders, helping drive organization, communication, and operational efficiency across the team.

This is an excellent opportunity for an experienced administrative professional who thrives in a fast-paced setting, takes initiative, anticipates needs, and enjoys being a trusted right-hand resource for leadership.

Key Responsibilities

Manage complex calendars for executive leaders, including scheduling meetings, resolving conflicts, and prioritizing business-critical activities.
Coordinate meetings, events, offsites, team activities, and department initiatives.
Monitor and help manage executive communications, flagging urgent items and tracking follow-up actions.
Prepare leaders for upcoming meetings by organizing agendas, materials, and pre-work.
Take meeting notes and distribute action items as needed.
Draft, edit, and format correspondence, presentations, reports, and other business documents.
Conduct research, gather information, and compile materials to support decision-making and planning.
Serve as a key point of contact for internal and external stakeholders.
Anticipate administrative needs and proactively identify solutions to improve efficiency and organization.
Support special projects and employee engagement initiatives, including department events and recognition programs.

Qualifications

Minimum of 3 years of administrative assistant experience, preferably supporting executives or senior leadership.
Demonstrated ability to work independently and proactively with minimal supervision.
Strong organizational skills with the ability to manage multiple priorities simultaneously.
Excellent written and verbal communication skills.
Experience handling sensitive and confidential information with professionalism and discretion.
Proven ability to anticipate needs, take ownership of tasks, and follow through to completion.
Strong attention to detail and problem-solving abilities.
Proficiency with Microsoft Office Suite and common collaboration tools.
Comfortable working in a hybrid environment with onsite attendance required at least three days per week.

Preferred Qualifications

Experience supporting multiple leaders in a corporate or technology-focused environment.
Experience coordinating department events, employee engagement activities, or large team meetings.
