Full Job Description

Membership Services Assistant

JOB TITLE: Membership Services Assistant

REPORTS TO: Membership Services Director

MANAGES STAFF: No

SUMMARY: You are employed as the Membership Services Assistant by Omega Property Management, the management agent retained by the Board of Directors of Nokomis Square Cooperative. Your work will be under the direction and supervision of the Membership Services Director and supported by the management agent through its management and office personnel offsite.

A commitment to working as a team player, communicating effectively in a friendly and professional manner (with Cooperative staff, Members, visitors, and vendors on site to conduct business as engaged by the management agent) and to serve the NSC community to the best of your ability are central to success in this role.

This position is intended to augment the duties of the Membership Services Director, particularly during peak times of internal & external customer interaction.

Examples of tasks within the purview of this role fall broadly into these key categories: Communication, Administration, Coordination / Facilitation and Safety.

DUTIES AND RESPONSIBILITIES:

Communication

Be familiar with the Guidelines for Cooperative Living as set forth in the Residents’ Manual and be the enforcing agent as necessary in accord with direction from management and / or the BOD president.
Respond to Members’ inquiries and requests promptly and courteously; when necessary, seek guidance as to the scope of the Cooperative’s responsibilities and procedures.
Answer incoming phone lines.
Respond to the security door phone.
Design/print/distribute weekly dining room menus; post onto My Channel.
Design/print/distribute approved notices on behalf of management and/or the BOD as directed by the Membership Services Director.
Attend to deliveries (i.e. Amazon, FedEx, UPS and USPS).
Maintain monthly calendar of events.

Administration

Effectively and accurately use MS Office, specifically Word and Excel, and other computer programs and office machines.
Order Member nametags (especially important in time for Move-ins).
Assist to maintain Guest Room calendar, communication regarding cleaning schedule, distribution / collection of key and payment to Cooperative for Guest Room usage charges.
Coordinate forwarding or return of mail, with input from the Membership Services Director.
Assist in keeping New Member Welcome Packets on behalf of the Cooperative current. Examples of important items: BOD Welcome Letter; committee information; emergency medical cards; building map; documentation of wedding anniversaries for couples; pet registration; routers vs. modems; form to initiate any changes (i.e. high-rise toilets); HO6 policy information; Internet/TV/DVR/My Channel info; and phone & electricity billing information.
Support the process for managing maintenance work orders promptly; in some cases, this requires follow up with heat or AC questions, GFI and flow valve on tubs.
Support committees with their administrative needs (i.e. Community Participation Fair handouts).
Assist Membership Services Director to maintain and distribute annually the Phone Directory; update with move-ins/outs and include in New Member Welcome Packets from NSC.

Coordination / Facilitation

Assist Members with TV/internet troubleshooting.
Wind entrance-lobby clock weekly.
Work with volunteers serving as Grocery Squad to receive Oxendale’s Market deliveries and distribute to Members accordingly.
Create signs as necessary (i.e. special events, special meals, activities & programs; garage cleaning; window washing; carpet cleaning, etc.).
“Monitor” the Free Bench.
Make “Meal Tickets” and process sales for Members or friends and family.

Safety

Assist in maintaining a secure environment by being aware of persons admitted into the building. Acquaint yourself with outside vendors and contractors, and admit only authorized persons.
Assist in maintaining an accurate listing of security phone numbers; insure proper coding and process security access key fobs and cards.
Open, sort and distribute incoming mail for the Cooperative.
Assist in responding to calls from the member’s emergency call system during office hours. Appropriately convert the callboard from night to day.

Restricted Activities

Cooperative employees are not to perform any personal services for members. Employees are not allowed to accept unauthorized gifts or payments from members. Violation of this policy will be considered grounds for dismissal.
