Job Summary

We are seeking an energetic and detail-oriented Front Desk Associate to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and ensure smooth administrative workflows. Your enthusiasm and organizational skills will help create a positive environment for clients, visitors, and team members alike. This paid position offers an exciting opportunity to develop your office management expertise while supporting daily business functions.

Duties

Greet visitors and clients warmly, ensuring a professional and friendly first impression
Answer multi-line phone systems promptly and direct calls efficiently using proper phone etiquette
Manage appointment scheduling and calendar coordination for staff and executives
Handle data entry tasks using spreadsheets, Microsoft Office applications, and bookkeeping software such as QuickBooks
Maintain organized office records, including filing, proofreading documents, and updating client information
Support office management by overseeing supply inventory, coordinating with vendors, and assisting with clerical tasks
Provide customer support through effective communication, problem-solving, and timely follow-up

Requirements

Proven office experience with strong organizational skills and attention to detail
Proficiency in Microsoft Office suite (Word, Excel, Outlook) and productivity software
Technical proficiency with computer literacy, data entry, spreadsheets, and bookkeeping tools like QuickBooks
Excellent phone communication skills with a professional demeanor and proper phone etiquette
Bilingual abilities are a plus to serve diverse client needs effectively
Strong typing skills with the ability to proofread documents accurately
Previous experience in front desk or administrative roles demonstrating multitasking capabilities
Ability to manage time efficiently while handling multiple responsibilities in a fast-paced environment
