About HK Technologies

HK Technologies (HK) is a leading manufacturer of advanced screening and separation solutions for the powder and bulk solids industries. Our equipment helps companies improve product quality, increase efficiency, and reduce waste across industries such as food, pharmaceuticals, chemicals, and plastics.

We are looking for a motivated Customer Service Representative & Administrator to support our growing customer base and help drive new opportunities.

Position Summary

The Inside Sales & Customer Service Representative works directly with customers to provide product support, prepare quotes, process orders, and ensure an excellent customer experience. This role plays a key part in maintaining customer satisfaction while identifying opportunities for growth.

This is a fast-paced, high-transaction environment that requires attention to detail, efficiency, and a passion for continuous learning and improvement.

Key Responsibilities

Manage inbound customer inquiries related to rescreens and replacement parts including gaskets, frames, covers, isolators, ultrasonics, mesh, and other components
Prepare quotes, process orders, and provide order status updates
Support post-sale documentation including certificates, invoices, and shipment tracking
Use internal systems including:
Fishbowl ERP for pricing, inventory, and order entry
PandaDoc for quote generation
HubSpot CRM to track opportunities and customer communications for quotes over $1,000
SharePoint to store documents and data
Coordinate with Operations to ensure orders meet quoted lead times and support >95% on-time delivery goals
Respond to inbound inquiries within 1 business day (goal: same-day response)
Lead the Return Goods Authorization (RGA) process, including process development and management of returned product workflow
Lead the Material Testing process, including coordinating with the Sales Team and the Customer for details about the application, the material with SDS before sending samples to HK, mesh sizes, documenting with pictures and video the testing results, and storing the data in our Material Testing library
Provide customer feedback and insights to Operations, Engineering, and Marketing to support continuous improvement

Qualifications

1–2 years of customer service experience, preferably in industrial or technical products
Associate degree or equivalent experience; technical or science background preferred
Strong written and verbal communication skills
Highly organized with strong attention to detail
Analytical mindset with strong problem-solving abilities
Ability to manage multiple tasks in a fast-paced environment
Comfortable working in a team-oriented environment
Willingness to get hands dirty
