Full Job Description

JOB TITLE: Front Desk Receptionist

CLASSIFICATION: Non-exempt

STATUS: Full Time

JOB STATEMENT:

The Front Desk Receptionist serves as a face of the agency and plays a large part not only in the first impression our clientele and community partners establish, but also in the overall and ongoing perception of how the agency conducts business and serves its own mission. The Front Desk Receptionist is expected to provide the highest level of customer service for any, and all, clients, stakeholders, community partners, and visitors being received by the agency; through walk-in traffic, incoming telephone calls, emails, or any other means of contact. Incumbents of this position are expected to maintain an upbeat, positive personality and exhibit a strong willingness to assist others.

SUPERVISION:

Received - This position reports directly to the Housing Programs Manager and indirectly to the Executive Director.

Exercised - This position does not serve in a supervisory capacity. An incumbent may be asked to assist in the job orientation, and training, of new personnel.

ESSENTIAL DUTIES:

Duties required to be effectively performed by staff in this position include, but are not limited to:

Ø Greet all individuals coming into the lobby in a friendly and approachable manner.

Ø Answer all incoming telephone calls, assisting callers, providing information, making community referrals, directing calls to appropriate staff members, and taking messages while exhibiting patience and a willingness to help.

Ø Provide basic, but accurate, information regarding the WVHA’s housing programs, eligibility requirements, wait-lists, availability, and other, general procedures to both callers and walk-ins.

Ø Provide timely referral to staff for appointments (or other assistance depending on staff availability).

Ø Maintain a personable and professional demeanor while working with people of a wide array of temperament and disposition.

Ø Effectively respond to inquiries, problems, or complaints in a professional and tactful manner or direct them to the appropriate staff member, or management personnel, as necessary.

Ø Ensure confidential information is kept confidential and not shared inappropriately and/or unnecessarily.

Ø Take requests for maintenance, via walk-in or call-in, prepare the appropriate Work Order for Maintenance, and then ensure the Work Order is properly presented to designated Maintenance personnel.

Ø Receive letters, parcels, packages and other documents and ensure they are then stamped with the current date and time, as necessary, before distributing them to the appropriate staff member.

Ø Open and secure the lobby entrance doors at the appropriate times.

Ø Grant access into the office space through appropriate implementation of the Visitor Policy.

Ø Keep the front desk, lobby, and lobby restroom in an organized and presentable condition and ensure all necessary materials (pens, forms, brochures etc.) are adequately stocked at all times.

Ø Coordinate use of the Social Hall by obtaining completed usage agreements and then distributing and collecting keys according to established procedures.

Ø Attend, and participate in, staff meetings.

Ø Assist other staff with miscellaneous tasks as time permits and as necessary or desired.

Ø Perform other duties and tasks as assigned.

All the Essential Duties are to be performed in a timely and effective manner.

Having ability to fluently speak and comprehend Spanish is highly desirable and shall provide a 4% differential of increased pay.

JOB REQUIREMENTS:

Ø Minimum of a high school diploma or equivalent. (AA, BA, or BS degree is desired, but not required.

Ø Ability to pass a background check to the satisfaction of the WVHA.

Ø One-year, full-time, related job experience in working with the public.

Ø Ability to work well under stressful conditions and solve problems.

Ø Good organization and multi-tasking abilities.

Ø Strong communication and people skills.

Ø Excellent customer service skills with a pleasant, personable, and patient demeanor.

Ø Desire to be of assistance to those in need.

Ø Ability to work with people of varied personalities, temperaments, and dispositions.

Ø Ability to lift up to 20 pounds and manipulate (push/pull) with up to 70 pounds of force.

Ø Knowledge of, and ability in the use of- MS Office / Outlook / Multi-Line Telephones / General Office and Clerical Procedures / General Office Equipment / Typing / Basic Mathematics

WORKING CONDITIONS:

Work is performed indoor in an office environment with regular interruption. The nature of this position will require considerable movement between a desk, front counter, and office production equipment. Time spent performing functions (typing, calculating, etc.) on a computer will vary from day to day and involve repetition of tasks. Incumbent will also spend time reviewing paperwork and performing file maintenance. It is characteristic that our clientele will include persons with disabilities that may require additional assistance and/or an appropriate response. Work in this position will generally include, but is not limited to, pushing, pulling, lifting, bending, reaching, crouching, and twisting. This position establishes a standard work week, but the incumbent may be required to work some overtime hours, as the need arises. Occasional, overnight travel for training may be required.
