Construction Operations Coordinator

Location: New Waterford, Ohio
Company: Dynamic Structures Construction Inc.
Position Type: Full-Time (Part-Time Considered for the Right Candidate)

Position Summary

Dynamic Structures Construction Inc. is seeking a highly organized, motivated, and dependable Construction Operations Coordinator to support the day-to-day operations of our growing commercial construction company.

This position serves as a vital link between the office and the field by assisting with project administration, coordinating documentation, communicating with subcontractors and suppliers, supporting project managers and field crews, and helping ensure projects run efficiently from preconstruction through closeout.

The ideal candidate is someone who enjoys variety in their workday, is comfortable both in the office and visiting job sites, and takes pride in keeping projects organized and moving forward.

Primary Responsibilities

Project Administration

Prepare and track project submittals.
Assist with RFIs, change orders, and project documentation.
Organize and maintain electronic and hard-copy project files.
Coordinate preconstruction and closeout documentation.
Maintain daily reports, meeting minutes, project logs, and equipment records.
Assist with permit applications and project compliance documentation.

Office Operations

Order project materials and coordinate deliveries.
Communicate with vendors, subcontractors, suppliers, architects, engineers, and owners.
Assist with scheduling meetings and project coordination.
Support estimating and proposal preparation as needed.
Help maintain company records, templates, and standard operating procedures.

Field Support

Visit project sites as needed.
Communicate with field supervisors regarding material needs, schedules, and project progress.
Assist in coordinating deliveries and subcontractor activities.
Help ensure information flows efficiently between the office and field personnel.
Assist crews with administrative needs while keeping management informed of project status.

Payroll & Compliance

Assist with prevailing wage documentation and certified payroll records.
Collect and organize employee timecards and subcontractor documentation.
Maintain compliance paperwork required for public projects.

Executive Support

Assist the General Manager and Owner with daily operational tasks.
Help prioritize workloads and keep ongoing projects organized.
Perform additional duties that support company operations and project success.

Qualifications

Construction industry experience preferred but not required.
Strong organizational and time management skills.
Excellent written and verbal communication.
Proficient with Microsoft Office (Word, Excel, Outlook).
Ability to learn construction management software.
Self-motivated with strong attention to detail.
Ability to manage multiple projects simultaneously.
Valid driver's license and reliable transportation.

Preferred Qualifications

Experience with commercial construction.
Familiarity with submittals, RFIs, change orders, and project documentation.
Knowledge of prevailing wage and public work projects.
Experience reading construction drawings is a plus.
Experience with Procore, Bluebeam, OneDrive, Microsoft Teams, or similar software is beneficial.
