Full Job Description

Overview

We are seeking an organized, detail-oriented E-Commerce & Operations Support Specialist to join our team. In this multi-faceted role, you will serve as a friendly voice for incoming phone orders, ensure seamless data entry into Shopify, and assist with e-commerce inventory management and order fulfillment.

This position also provides essential administrative support and organizational efficiencies to streamline daily office operations and drive key projects forward.

Duties

Customer Service & Horticultural Support

Customer Sales and Support: Assist domestic, international, retail, and wholesale customers in-person and over the phone with product selection and purchases across our full catalog (including irises, daylilies, alliums, and web store items). This includes collection and initiating payments.
Horticultural Expertise: Provide confident guidance on planting, growing, seasonal care, and troubleshooting specifically for irises and daylilies.
Front Desk Reception: Warmly greet visitors and walk-in customers; receive, sign for, and organize incoming carrier deliveries (UPS, FedEx, USPS, etc.).
Social Media Customer Service Deliver high-touch customer support by actively managing comments and direct messages across all social media platforms.

E-Commerce & Digital Merchandising

Online Storefront Management: Support product merchandising by adding new product, creating clear product descriptions, updating inventory, and managing order/product tags, photos, videos, etc. on both Shopify and Amazon Storefronts.
Digital Asset Management: Upload, organize, and maintain high-quality product photos and videos for the online shop.
Software Operations: Efficiently navigate essential e-commerce and logistics software, including Shopify, Sellware, Fishbowl, and ShipStation.

Logistics & Administrative Support

Shipping Communication: Collaborate closely with the Shipping Manager to proactively address and resolve customer delivery issues.
Carrier Claims: Initiate, document, and track shipping claims with major carriers (UPS, FedEx) to recover costs for lost, delayed, or damaged inventory.
Order Fulfillment: Execute daily order fulfillment workflows, including downloading online orders, generating picking lists, and printing accurate packing slips for accurate shipment preparation on an as needed basis
Administrative & Data Support: Perform high-accuracy data entry across multiple operational databases and management systems. Tasks include but are not limited to maintaining inventory logs, creating inventory books, processing wholesale invoices, applying employee timecard adjustments, logging chemical/spray application records, and supporting general operational data entry as needed.
Front-Line Customer Service: Serve as a primary backup at the order window during peak hours and high-traffic times to assist visitors, process orders, and maintain quick, friendly service. Assist with training bloom season staff in the order window.
Serve as a flexible resource across departments, assisting leadership with high-priority projects and any day-to-day operational requirements that come up.
Supply & Inventory Management: Unpack, organize, and properly store incoming office supplies, ensuring workstations and supply closets remain orderly and fully stocked.
Facility Upkeep: Ensure breakroom and kitchen areas remain welcoming and clean through daily maintenance of the coffee area, dishes, wiping down appliances, and keeping the employee fridge organized.

Skills Required

E-Commerce & Order Management Systems:

Minimum 1 year of hands-on experience operating within the an E-Commerce platform (entering orders, managing product listings, updating inventory counts, and processing customer gift cards or adjustments).
Experience with inventory management and order fulfillment software (e.g., Fishbowl, Sellware, or similar ERP/multi-channel fulfillment platforms) preferred.
Customer Service & Phone Support:
1+ years of experience in direct customer support preferred, with a strong emphasis on inbound phone order processing, phone sales, and clear verbal communication.
Demonstrated skill in accurate real-time data entry while conversing with customers on the phone.

Fulfillment & Logistics Assistance:

Prior experience working directly with order fulfillment workflows, including generating pick/pack lists, and mapping order statuses for timely dispatch.
Comfort navigating warehouse/inventory picking processes and cross-referencing physical stock against system numbers.

Administrative & Data Entry Support:

1–2 years in an administrative support role supporting cross-functional leads (such as Sales, Wholesale Coordinators, or Administrative Managers) is preferred.
Proven track record of high-accuracy data entry, spreadsheet management, and routine record-keeping (proficient in Microsoft Excel / Google Sheets).
Advanced Proficiency in Microsoft Excel: Proven ability to design and build complex, functional spreadsheets from scratch (not just enter data into existing templates).
Deep Mastery of Formulas & Data Structuring: Expert knowledge of lookup functions (XLOOKUP, VLOOKUP, INDEX/MATCH), logical functions (IF, AND/OR, NESTED IF), conditional formatting, and data validation rules.
Data Manipulation & Reporting: Highly skilled in building dynamic Pivot Tables, Pivot Charts, and clean executive summaries to analyze operational data.

Pay Range: $21-$24 Per Hour + Commissions
