Full Job Description

Overview

We are seeking a proactive and detail-oriented Deputy County Clerk / Election Officer to join our team. This vital role involves managing election processes, supporting administrative functions, and ensuring the smooth operation of county records and voter services. The ideal candidate will demonstrate exceptional organizational skills, strong communication abilities, and a passion for public service. This position offers an exciting opportunity to contribute to the democratic process while working in a dynamic, community-focused environment.

Essential Duties and Responsibilities

Election Administration

Assist with the planning, preparation, and administration of primary, general, special, and local elections.
Assist with voter registration and maintenance of voter registration records.
Assist voters with questions regarding registration, voting procedures, polling locations, advance voting, and provisional ballots.
Prepare election materials, ballots, poll books, notices, forms, and other required election supplies.
Assist with advance voting, including processing applications, issuing ballots, maintaining records, and preparing materials.
Assist with the preparation and distribution of election supplies to polling locations.
Provide training and assistance to election workers and poll workers as directed.
Assist with election-night procedures, including receiving election materials and ensuring required documentation is properly completed.
Maintain accurate election records and ensure required reports are completed and submitted within established statutes.
Assist with election audits, recounts, provisional ballots, and other post-election responsibilities.

County Clerk Duties

Assist with general County Clerk responsibilities and daily office operations.
Prepare correspondence, reports, notices, forms, agendas, and other official documents.
Maintain accurate county records and files in accordance with established procedures and retention requirements.
Assist with processing bills, claims, accounts, and other financial or administrative documents as assigned.
Assist with tax roll preparation, special assessments, and other statutory duties assigned to the County Clerk's Office.
Assist with public records requests and provide records in accordance with applicable laws and county procedures.
Assist with preparation of materials for County Commission meetings and other official county business.
Maintain organized electronic and paper filing systems.
Provide backup coverage for other County Clerk functions as needed.

Customer Service and Public Relations

Provide courteous, professional, and timely service to the public.
Answer telephone calls and respond to questions or direct inquiries to the appropriate person.
Greet citizens and visitors and assist them with county business.
Communicate election procedures and county processes clearly and professionally.
Maintain a professional and respectful working relationship with county officials, employees, election workers, candidates, voters, and members of the public.

Compliance and Confidentiality

Perform duties in accordance with Kansas law, election regulations, county policies, and established office procedures.
Maintain strict confidentiality of protected, sensitive, and non-public information.
Follow established procedures for the security, handling, storage, and retention of election materials and official county records.
Remain current on changes to election laws, regulations, procedures, and software systems.
Attend required training, workshops, conferences, and continuing education programs.

Required Knowledge, Skills, and Abilities

Knowledge of general office practices, procedures, and recordkeeping.
Ability to understand and follow federal, state, and local laws, regulations, and policies.
Strong attention to detail and ability to identify errors or inconsistencies.
Excellent organizational and time-management skills.
Ability to handle confidential and sensitive information appropriately.
Ability to communicate effectively, both verbally and in writing.
Ability to work professionally with the public, elected officials, coworkers, candidates, and election workers.
Ability to operate standard office equipment and computer systems.
Ability to learn and accurately use election management, voter registration, financial, and county software systems.
Ability to prioritize multiple responsibilities and meet strict statutory and administrative deadlines.
Ability to remain calm, professional, and accurate during high-volume and high-pressure periods, particularly during elections.
Ability to work independently while also functioning effectively as part of a team.

Pay: $18.22 - $22.76 per hour
