Full Job Description

$26.98/Hour (Step C/Year 0), up to $31.28/Hour (Step C/Year 5) DOE

Position Title: Enrollment Specialist
Department: Administration
Reports to: Operations Director
Supervises: N/A
Classification: Full-time Regular
Status: Hourly

DEFINITION:

Under the oversight and general supervision of the Operations Director, program responsibilities will include working as a member of an administrative team; to assist in supporting and celebrating ethnic and family diversity that promotes self-reliance in low-income families and providing comprehensive case management such as enrollment, linkage to community resources, monitoring, and advocacy.

ESSENTIAL JOB FUNCTIONS:

Position Responsibilities

Maintain appropriate records for case reporting and client tracking that ensures accurate, complete, and current files.
Complete intake enrollment procedures with incoming families.
Manage data in a Waiting List computer application such as: entering applications into the computer database, reviewing verification documents for accuracy, obtaining families from the waiting list to enroll.
Meet with prospective families to evaluate eligibility and refer to appropriate resources.
Compile statistical information on case load as needed for program reporting and evaluation.
Maintain current information on housing opportunities, community resources, and applicable laws.
Assist parents in completing eligibility and enrollment application forms.
Respond to parent inquiries for assistance in matters related to enrollment and community resources.
Document all questions, concerns, and complaints received.
Document and follow-up on family needs and concerns.
Advocate and collaborate with community agencies to support child, family, and agency outcomes.
Assist in opening/closing the administrative office as needed.
Assist in answering all incoming phone calls and taking messages as needed.
Provide general support asked of all staff.
Perform any other duties as assigned by administration.

Staff Relations

Assist with breaks and other agency needs as requested.
Support all staff members in their duties.
Maintain open and respectful communication to children, staff, and parents.
Serve on a team of other administrative staff, teachers, assistants, and volunteers.
Work cooperatively with other staff members, accepts supervision, and helps promote a positive atmosphere.
Maintain strict confidentiality regarding employed staff.

Family Relations

Involved in activities that support the parent community, including parent meetings, conferences, home visits, and in-take conferences.
Maintain strict confidentiality regarding families enrolled at the center.
Assess family goals and provide recommendation and referral for relevant community resources.
Prepare and distributes follow up information requested by the family in a timely manner.
Work flexible hours to meet the needs of families, may include some weekends and evening hours.
Work with families to establish and maintain regular attendance for their child.
Actively encourage parents to participate in the program such as attending parent meeting, field trips, program advisory council, and classroom help.
Support families in completing vaccination, physical, dental, obtaining health coverage (Healthy

Families applications, etc.) and nutritional screenings.

NOTE: Essential Job Functions may be both on and off-site locations, days and/or evenings and/or weekends.

MINIMUM QUALIFICATIONS:

Bilingual/Bi-literate ability in English/Spanish.
Keyboarding skills (40+ words a minute), computer literacy, and proficiency with various applications such as MS Office, e-mail, and internet.
In good health and free of active Tuberculosis.
Must provide completed Health Screening Report, Immunizations, and Department of Justice clearance prior to employment.

REQUIRED SKILLS, KNOWLEDGE, AND ABILITIES:

Demonstrated effective communication skills and ability to work cooperatively with others.
Experience working with a diverse and multicultural population; understanding of problems of varying socioeconomic backgrounds.
Ability to lift up to 40 pounds repeatedly each day.
Able to reach a child 20-30 feet away in 30 seconds without danger to the staff person's health.
The skills and willingness to deal with sensitive family situations in a non-threatening and professional manner.
Ability to communicate well with adults and children of diverse academic, ethnic, socioeconomic, and cultural backgrounds, including people with disabilities.
Ability to lift a minimum of 40 pounds, assume postures in low levels to allow physical/visual contact with children and engage in physical activity with children.
Ability to see and hear well enough to keep children safe.
Ability to communicate well with adults and children of diverse academic, ethnic, socioeconomic, and cultural backgrounds, including people with disabilities.
Ability to set and maintain professional boundaries with families.
Must be able to balance and prioritize work load and have strong time management skills.

DESIRABLE QUALIFICATIONS:

Knowledge of early childhood education, intervention skills, and community resources.
Current pediatric CPR and First Aid certification.
