Full Job Description

Job Overview

We are seeking a motivated and customer-focused individual to handle front desk responsibilities while assisting with property management tasks. This is a great opportunity for anyone interested in pursuing real estate as a career. Duties

Greet residents, visitors, vendors, and contractors with professionalism and enthusiasm, providing exceptional customer service at all times
Manage incoming calls with courteous phone etiquette, directing inquiries efficiently and professionally
Assist with lease or rental agreement management, including data entry, filing, and document preparation using property management tools such as Yardi and Buildium
Support property leasing activities by coordinating appointments, showing units, and upselling available units to prospective tenants
Maintain accurate records related to tenant information, rent payments, maintenance requests, and legal documentation in compliance with Fair Housing regulations and Landlord-Tenant Law
Collaborate with team members on conflict management issues and facilitate effective communication between tenants and property staff
Support facilities management tasks such as property maintenance scheduling, vendor coordination, and basic facilities oversight using CMMS (Computerized Maintenance Management System) software
Assist in budgeting processes by tracking expenses and preparing reports for property financials
Ensure compliance Section 8 program requirements

Requirements

Some knowledge of Office Suite (Microsoft Office), and property management tools
Understanding of Landlord-Tenant Law, Fair Housing regulations, LIHTC programs, Section 8 housing policies, and related legal frameworks
Excellent customer service skills combined with professional phone etiquette and conflict resolution abilities
Ability to handle data entry accurately while maintaining organized filing systems for legal documents and tenant records
Experience in facilities management or maintenance coordination is a plus
Demonstrated team management skills along with the ability to work independently in a fast-paced environment
Administrative experience including filing, data entry, contract review, and client communication is essential
Bilingual - Spanish and English

Key Responsibilities:

Greet and assist clients and visitors in a friendly, professional manner
Handle incoming calls, emails, and correspondence
Assist with tenant and property management tasks, including leasing, rent collection, and maintenance coordination
Maintain property records and files
Provide administrative support to the property management team
Help organize and schedule property viewings and inspections

Qualifications:

Strong interest in real estate and property management
Excellent communication and customer service skills
Highly organized and detail-oriented
Ability to multitask and manage time effectively
Proficiency in Microsoft Office (Word, Excel, Outlook) is a plus
Previous experience in customer service or administrative roles is also a plus but not required
A background social media marketing is a plus
