Position Summary
The Director of Facilities & Operations serves as a key member of the leadership team and is responsible for the stewardship, maintenance, safety, and operational excellence of the retreat center’s older buildings, grounds, infrastructure, and support services. The Director oversees facilities maintenance, grounds management, capital improvement projects, compliance, vendor relationships, safety compliance, and operational support services. This position is ideal for a hands-on leader with experience in facilities management, construction, property management, or building operations who can balance strategic planning with day-to-day operational oversight.
Key Responsibilities
Facilities & Property Management
· Provide leadership and oversight for the maintenance, repair, and improvement of all buildings, grounds, utilities, and infrastructure across the retreat center campus.
· Develop and implement preventative maintenance programs to ensure the longevity and reliability of facilities and equipment.
· Develop and maintain a multi-year facilities and building assessment plan with replacement forecast (roofs, HVAC, water/septic, electrical, roadways).
· Manage rural site systems including well, septic/on-site wastewater, water treatment, propane, backup power/generators, private roads, and irrigation, ensuring resilience to wildfire, storm, and extended-outage conditions.
· Coordinate and supervise facility improvement projects, renovations, and construction activities from planning through completion.
· Conduct regular inspections of buildings and grounds and establish priorities for repairs and upgrades.
· Ensure compliance with all applicable safety, health, environmental, and building regulations.
Construction & Capital Projects
· Manage capital improvement projects, including budgeting, contractor selection, scheduling, and quality control.
· Serve as the primary liaison with architects, engineers, contractors, inspectors, and vendors.
· Develop project scopes, obtain bids, review contracts, and monitor project progress.
· Maintain long-range facility and infrastructure improvement plans aligned with organizational priorities.
· Evaluate facility systems and recommend upgrades to improve efficiency, sustainability, and guest experience.
Operations Leadership
· Oversee operational support functions including maintenance, housekeeping, kitchen and facility readiness for retreats and events.
· Develop and implement operational procedures to ensure efficient, consistent, and safe facility operations.
· Coordinate logistics to support retreat programs, guest groups, and special events.
· Ensure facilities are prepared and functioning properly to support all scheduled activities.
Team Leadership
· Recruit, train, supervise, and evaluate maintenance, housekeeping, kitchen and support staff.
· Foster a collaborative culture of accountability, stewardship, and service.
· Establish work schedules, assign priorities, and ensure effective staff coverage.
· Promote safe work practices and ongoing professional development.
Financial & Vendor Management
· Assist in the development and management of facility, operations, and capital budgets.
· Monitor expenditures and identify opportunities for cost savings and operational efficiencies.
· Solicit and evaluate vendor proposals and negotiate service agreements.
· Manage relationships with contractors, suppliers, and service providers to ensure quality work and cost-effective solutions.
Guest & Retreat Experience
· Ensure retreat guests experience a safe, clean, comfortable, and welcoming environment.
· Collaborate with retreat and program staff to align facility operations with guest and event needs.
· Address facility-related concerns promptly and professionally.
Administrative Responsibilities
· Maintain accurate records related to maintenance activities, inspections, projects, vendor contracts, and regulatory compliance.
· Prepare reports and recommendations regarding facility conditions, capital needs, and operational improvements.
· Support organizational initiatives and special events as requested.
Qualifications Required
· Minimum of 2 years of experience in facilities management, construction management, property management, building operations, or a related field.
· Demonstrated experience supervising maintenance personnel, contractors, or operational teams.
· Strong knowledge of building systems, preventative maintenance practices, safety procedures, and facility operations.
· Proven project management skills, including budgeting, scheduling, and contractor oversight.
· Excellent organizational, communication, and problem-solving abilities.
· Ability to prioritize multiple projects and respond effectively to operational needs.
Preferred
· Bachelor’s degree in Facilities Management, Construction Management, Business Administration, Engineering, or a related field; equivalent experience considered.
· Experience in hospitality, retreat centers, camp and conference centers, educational campuses, nonprofit organizations, or mission-driven environments.
· Background in commercial construction, renovation projects, or capital improvement management with knowledge of older infrastructure.
· Knowledge of and/or desire to learn water system operation.
· CPR/First Aid certification.
Work Environment
· Requires regular physical presence throughout the retreat center campus.
· Frequent walking across buildings and grounds, including uneven outdoor terrain.
· Ability to lift up to 50 pounds and perform occasional physical inspections of facilities and equipment.
· Availability for occasional evenings, weekends, and emergency response situations as operational needs require.
Pay: $90,000.00 - $110,000.00 per year
