Front Desk Phone Coordinator – Oral Surgery (Seaford, DE)

First State Oral Surgery
Seaford, DE | Full-Time

First State Oral Surgery is seeking an experienced Front Desk Phone Coordinator to support our busy, fast-paced multi-location oral surgery practice. This role is ideal for a highly organized healthcare professional with strong dental scheduling, oral surgery, insurance verification, and high-volume patient communication experience.

As the first point of contact for our patients and referring offices, this team member plays a critical role in delivering exceptional service while coordinating schedules for multiple providers across several locations.

We are looking for someone who is professional, efficient, detail-oriented, and comfortable handling a large volume of calls in a specialty surgical environment.

Primary Responsibilities

Answer high-volume incoming calls
Schedule oral surgery consultations, sedation cases, extractions, implants, biopsies, and post-op visits
Coordinate provider schedules across multiple locations to maximize efficiency
Receive and process referrals from general dentists, orthodontists, and specialty offices
Review and verify patient demographics, insurance, and Medicaid eligibility
Explain appointment instructions, arrival times, fasting requirements, and financial expectations
Manage appointment confirmations, cancellations, reschedules, and waitlists
Triage urgent patient concerns and route appropriately to clinical teams
Communicate with assistants, office managers, and providers regarding scheduling needs
Document all calls accurately in the patient chart and scheduling system
Maintain strict HIPAA compliance and confidentiality
Assist with workflow support for insurance and treatment coordination teams

Qualifications

Required:

Strong experience handling high-volume phone calls
Excellent phone etiquette and professional communication skills
Strong multitasking, organization, and attention to detail
Ability to work efficiently in a fast-paced specialty office

Preferred:

Minimum 2 years of dental, oral surgery, OMS, or medical front desk scheduling experience
Oral surgery or dental specialty experience
Experience scheduling for multiple providers and/or multiple locations
Experience with sedation or surgical scheduling
Medicaid and dental insurance verification experience
Knowledge of referral workflows and treatment coordination
Experience with Dentrix, OMSVision, Eaglesoft, or similar dental software

Ideal Candidate

The ideal candidate has prior oral surgery, OMS, periodontics, endodontics, or dental specialty front desk experience and can confidently manage complex schedules, patient calls, and referral coordination while maintaining a calm and professional demeanor.

Candidates with experience in dental call centers, specialty scheduling, treatment coordination, or multi-provider healthcare scheduling are strongly encouraged to apply.

$19 per hour, based on experience
