Job Summary

We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our office environment. This vital role involves overseeing administrative functions, managing office systems, and ensuring a smooth workflow across all departments. The ideal candidate will bring a proactive attitude, exceptional organizational skills, and a passion for creating an efficient and welcoming workplace. As Office Manager, you will serve as the central point of contact for staff, clients, and vendors, fostering a positive and productive office culture.

Duties

Manage day-to-day office operations, including supply procurement, maintenance, and facility management to ensure a functional workspace
Oversee front desk activities such as greeting visitors, answering multi-line phone systems, and providing excellent customer service
Coordinate calendar management and scheduling for executives and team members using productivity software like Microsoft Office and Google Workspace
Handle data entry, filing, and document proofreading to maintain accurate records and ensure compliance with company standards
Support bookkeeping tasks using QuickBooks or similar accounting software to assist with invoicing, expense tracking, and financial reporting
Supervise clerical staff and delegate administrative tasks to ensure timely completion of projects
Maintain organized filing systems both physically and digitally while managing office correspondence efficiently

Qualifications

Proven experience in office management or administrative roles with strong organizational skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and familiarity with productivity software
Technical proficiency in using multi-line phone systems, data entry tools, and basic bookkeeping software such as QuickBooks
Excellent customer service skills with professional phone etiquette and interpersonal communication abilities; bilingual skills are a plus
Previous experience in front desk or medical/dental receptionist roles is advantageous
Strong time management skills with the ability to prioritize tasks effectively in a fast-paced environment
Clerical experience including filing, proofreading, calendar management, and administrative support tasks
