Graduate Student Coordinator

Job Summary

Materials Science and Engineering Department is looking to fulfill the role of Graduate Advisor. This role serves as the primary advisor for multiple graduate programs, including PhD, MS, and the department's new Professional Master's Program. The advisor provides guidance throughout the student lifecycle, from admission through graduation, while collaborating closely with faculty, staff, the Graduate School, and campus partners to ensure students receive accurate information, exceptional service, and timely support

This position will assist the University in promoting a climate of respect and equal opportunity that cultivates and sustains transformative practices by forging spaces of possibility where people feel safe, valued, welcomed, and respects all students in their quest for individual success through graduate degree programs.

Responsibilities

Academic Advising
- Advise graduate students enrolled in multiple academic programs, including PhD, MS, and Professional Master's degree programs, on academic planning, degree requirements, course sequencing, registration, and graduation requirements.
- Meet individually with students to provide guidance on academic policies, university regulations, and program requirements.
- Assist students in developing productive working relationships with faculty, supervisory committees, and research advisors.
- Provide permission codes and assist students with course registration, enrollment issues, and academic planning.
- Serve as a liaison between graduate students, faculty, the department, and the Graduate School.

Student Records and Program Administration
- Perform administrative functions that support graduate students, including maintaining accurate student records and advising documentation.
- Coordinate programs of study, supervisory committee formation, milestone tracking, graduation applications, degree progress, scheduling, and course planning.
- Maintain records of advising activities and student interactions using university systems.
- Monitor student progress toward degree completion and communicate deadlines, policies, and academic milestones.

Communication and Policy Guidance
- Collect, interpret, and disseminate information regarding changes to university policies, Graduate School procedures, and degree requirements.
- Ensure advising practices remain current with institutional policies and departmental procedures.
- Serve as a knowledgeable resource regarding graduate student policies, processes, and academic regulations.

Program Support and Curriculum
- Provide feedback on graduate curriculum and academic policies.
- Support faculty in the development and implementation of new academic programs, including the Professional Master's Program.
- May assist with graduate committee development and other academic processes related to student progression.

Student Engagement and Recruitment
- Participate in outreach and recruitment activities for prospective graduate students.
- Assist in planning and coordinating graduate student orientation, welcome events, professional development workshops, and departmental events.

Collaboration and Service
- Collaborate with faculty, department leadership, Graduate School staff, and campus partners to ensure students receive accurate advising and coordinated support throughout their graduate programs.
- Serve as a departmental resource on graduate education policies and procedures.
- Actively participate in campus professional development organizations, including the Graduate Academic Professional Advisors (GAPA) and other advising-related communities through committee and subcommittee service.

Minimum Qualifications
Bachelor's degree or equivalency (one year of education can be substituted for two years of related work experience).

2 years' of related experience.
Demonstrated human relations and effective communication skills

Preferences

Experience advising graduate students, knowledge of Graduate School policies and student recruitment.
