Full Job Description

Position Summary

The Accounts Payable Clerk is responsible for supporting daily accounting operations through accurate accounts payable processing, vendor statement reconciliations, OEM/Manufacturer transactions, banking activity, and General Ledger coding.

This position works with vendors, dealership departments, and the Accounting team to ensure invoices and payments are processed accurately, discrepancies are researched and resolved, and accounting records remain current and organized.

The ideal candidate is detail-oriented, organized, comfortable working with a high volume of transactions, and has a basic understanding of General Ledger accounts and accounting processes.

Essential Responsibilities

Process and enter vendor invoices accurately and timely.
Review invoices for proper documentation, coding, and approval.
Code transactions to the appropriate dealership, department, and General Ledger account.
Process vendor payments, including checks, ACH payments, and other approved payment methods.
Maintain accurate vendor records and process credits and adjustments.
Perform regular vendor statement reconciliations.
Identify and research missing invoices, unapplied credits, duplicate charges, payments, and other statement discrepancies.
Communicate directly with vendors to research and resolve invoice and payment issues.
Book and process OEM/manufacturer transactions, including invoices, credits, rebates, and other manufacturer activity.
Reconcile OEM statements and research outstanding or unmatched transactions.
Record banking activity, including deposits, ACH transactions, transfers, and electronic payments.
Assist with bank and cash account reconciliations.
Research outstanding checks, unidentified transactions, and banking discrepancies.
Review General Ledger activity and identify potential coding errors or unusual transactions.
Prepare routine journal entries and correcting entries as assigned.
Complete assigned account and statement reconciliations within established deadlines.
Assist with month-end close and provide supporting documentation as needed.
Maintain accurate and organized Accounting records.
Provide backup support for other transactional Accounting responsibilities as needed.

Qualifications

High school diploma or equivalent required; Accounting, Finance, or Business education preferred.
1–3 years of accounts payable, bookkeeping, dealership accounting, or related experience preferred.
Automotive, powersports, RV, marine, or dealership accounting experience preferred.
Experience performing vendor statement reconciliations preferred.
Working knowledge of General Ledger accounts and basic debits and credits.
Experience with OEM/manufacturer accounting is a plus.
Multi-location Accounting experience is a plus.
Dealership management system experience preferred; Lightspeed experience is a plus.
Proficiency with Microsoft Excel, Outlook, and other Microsoft Office applications.

Performance Expectations

Success in this position includes accurate and timely invoice processing, timely completion of vendor and OEM statement reconciliations, proper General Ledger coding, accurate banking transactions, minimal payment errors, and timely resolution of outstanding discrepancies.

Work Environment & Schedule

This is a full-time, hourly position generally working Monday through Friday during normal business hours. Additional hours may occasionally be required during month-end, year-end, or other high-volume Accounting periods.

Pay: $19.00 - $23.00 per hour
